Job description

Purpose of the Role

The main purpose of the role is to assist in the management of all aspects of the day to day operations and maintenance of the property, including the immediate supervision of staff (if appropriate) and contractors and ensuring the required standards are achieved and maintained at all times. Contribute to the safety and wellbeing of all users of the building.

Key Responsibilities

  • Support the Building Manager in advancing good client relations with appropriate occupier representatives, propagate open communication and flow of information on building issues.
  • With assistance from the Building Manager, update records and ensure compliance with all Savills operational processes, policies and procedures.
  • Assist the Building Manager in procuring costs and other appropriate information to facilitate the production and subsequent management of the building service charge budget.
  • Support the Building Manager in ensuring that health & safety, emergency procedures and safe working practices are enforced and conform to legislation. In the absence of the Building Manager, to take control of any emergency situations and execute evacuations plans.
  • Support the Building Manager in undertaking regular physical inspections of completed works and service contracts and of all areas of the premises in their entirety.
  • Support the Building Manager with all aspects of routine correspondence and lead on administrative duties to support the efficient running of the building management office.
  • Assist the Building Manager in ensuring that the production of service specifications, contracts and associated documentation properly represent the service requirement of the premises and are presented and executed in accordance with company guidelines.
  • Ensure monthly checklists are completed and uploaded onto Datastation within the appropriate time scales.
  • Ensure that high site standards are achieved and maintained at all times.
  • Evaluate existing contractual relationships and ensure that the tenants are receiving best value.
  • Ensure appropriate, clear lines of communication are established and maintained with all stakeholders.
  • Carry out any other reasonable request of the Property Management Surveyor, Regional Facilities Manager and the Building Manager.
  • Generally assist and support the Building Manager, deputising where appropriate.

Other duties as directed.

  • Excellent communication and interpersonal skills.

  • Must have a strong personality to deal with demanding tenants, and the ability to build strong relationships.
  • Develop and promote good internal relations in order to identify and implement continual improvements.
  • Carry out community engagement work – inform and engage the local community to ensure positive visitor numbers and that facilities are as well utilised as possible
  • Carry out marketing activities – this will often include social media communication aimed at building a positive image, improving public perception and encouraging community engagement.
  • Ensuring excellent customer service and quality delivery.

Working Hours – Monday to Friday, 08.00 to 17.00 / 45 Hours

Salary – GBP42,500
