The Role

This is a full-time role for an administrative assistant to provide coverage to the Asset & Wealth PWM Management team in London. This role requires a highly collaborative, proactive and organised individual, who can multi-task effectively.

Responsibilities

  1. Provide executive support to multiple senior MDs and team members.
  2. Provide executive support to senior leadership (PMD’s) when they visit the London office.
  3. Proactive diary management of complex calendars across multiple time zones; key gatekeeper.
  4. Arrange internal and external meetings and all logistics – booking of conference rooms, guest registration, ensuring materials are organized.
  5. Arrange travel; organize and provide detailed travel schedules and process related expenses in a timely manner.
  6. PWM holds internal conferences and training onsite throughout the year, assisting with planning, rooms, speaker holds, invites, to be present onsite on conference days to assist with logistics.
  7. Adhering to Compliance regulations and gaining the relevant approvals.
  8. General team admin including phone answering and relaying messages, photocopying/scanning/printing, participation in ad-hoc projects, and planning team events.
  9. Regularly facilitate knowledge sharing within the team and ensure relevant information is disseminated accordingly.
  10. Act as an integral member of the team; maintaining a high level of awareness of current priorities and support required.
  11. Flexibility to support assistant colleagues and cover when necessary.

Required Skills

  1. Prior experience as an assistant – preferably 5 years + and ideally from a banking, financial services background.
  2. Team player with a positive “can do” attitude is a must.
  3. Excellent interpersonal and communication skills - ability to display a consistent, professional degree of communication.
  4. Strong attention to detail.
  5. Proactivity with excellent organisational and problem solving skills - ability to take initiative, follow up where necessary without prompting and seek clarification when needed.
  6. Ability to work well under pressure, adapt to unexpected events, prioritize and multi-task in a deadline driven environment.
  7. Demonstrates high degree of integrity and recognises the need for confidentiality.
  8. Comfortable working with people at all levels across the organisation.
  9. Strong proficiency in MS Word, Excel, PowerPoint and Outlook.
