Role overview

We are an established facilities management provider seeking a highly analytical and detail-oriented Asset & PPM Coordinator to oversee asset management and Planned Preventative Maintenance (PPM) scheduling across a significant housing portfolio. This role is pivotal in ensuring operational efficiency, compliance, and optimal use of resources. You will support strategic asset management by maintaining accurate data, coordinating maintenance activities, and contributing to reporting and planning initiatives.

Responsibilities
  • Maintain and update asset records in the CAFM system, ensuring accuracy, timeliness, and compliance with organisational standards.
  • Analyse operational reports, move-in/move-out data, and PPM schedules to determine when assets and maintenance activities should be activated, paused, or hibernated.
  • Generate, interpret, and distribute daily, weekly, and ad-hoc reports to support operational decision-making.
  • Coordinate with internal teams, including Asset Managers, operational staff, and the supply chain, to ensure accurate communication of asset and maintenance requirements.
  • Issue work orders and manage follow-up to ensure completion within agreed timescales.
  • Monitor compliance with statutory inspections and PPM schedules, identifying areas for improvement or risk mitigation.
  • Contribute to the design and implementation of enhanced asset reporting tools and processes, supporting strategic planning and lifecycle management.
  • Identify opportunities to improve maintenance efficiency, reduce downtime, and support the sustainability of assets through proactive management.
What you'll bring
  • Advanced Excel skills, capable of manipulating large and complex datasets.
  • Strong analytical skills with the ability to interpret operational data and provide actionable insights.
  • Excellent organisational skills with meticulous attention to detail.
  • Strong communication skills, capable of collaborating effectively across multiple teams.
  • Proficiency in Microsoft Office applications; experience with CAFM systems (e.g., Maximo) or Power BI is highly desirable.
  • Knowledge of asset hierarchy, statutory inspection regimes, and PPM scheduling, particularly within housing or FM environments, is preferred.
  • Proactive mindset with a problem-solving approach and the ability to work independently.
