Jones Lang LaSalle Incorporated is seeking an Asset Experience Services Team Member to provide essential H&S and operational support across Royal London assets. You will assist Asset Experience Managers with compliance, risk management, supplier coordination, and maintenance planning.

This role focuses on safety, service quality, and efficient operations, reporting to the leadership team with matrix support across the portfolio.

Qualifications

  • Understanding of H&S legislation applicable to property management.
  • Knowledge of statutory compliance requirements for commercial properties.
  • Familiarity with permit-to-work systems and risk assessment methodologies.
  • Experience with property management software platforms.
  • Proficiency in Microsoft Office applications, particularly Excel, Word and Outlook.
  • Understanding of building services and maintenance operations.
  • Knowledge of ISO14001 and quality management systems.
  • Awareness of ESG and sustainability requirements in property management.
  • Ability to manage multiple priorities and deadlines effectively.
  • Clear written and verbal communication skills.
  • Data analysis and reporting capabilities.

Responsibilities

  • Health & Safety Management:Support Asset Experience Managers to understand H&S legislation and implement compliance; manage risk actions and risk registers; coordinate inspections; maintain Asset Sustainability Plans; coordinate risk assessments; track accidents/incidents; administer e-permits; support audits.
  • Supplier Management: Support expenditure management, purchase orders, invoice approvals; manage invoice queries; monitor helpdesk response times; coordinate meter readings; prepare quotes and work orders; support contract variations; ensure timely payment of invoices; monitor cashflow.
  • Works Management: Support work orders, contracts, site access; liaise with contractors; coordinate preventative maintenance; track remedial work completion and compliance.
  • ESG Support: Support EPC management and energy matters; assist with sustainability reporting and data collection.
  • Data Management: Maintain property records and data; manage emails and filing; coordinate Teams sharing; maintain H&S registers and documentation; support operational reports.
  • General Support Functions: Provide information gathering for client reports; support transitions and handovers; coordinate audit/inspection information.

JLL UK Property Management - Royal London Property Delivery Asset Experience Services – Operations Team Member

About the Role

As an Asset Experience Services Team Member within JLL's Royal London Property Delivery team, you will provide essential health & safety and operational support services to Asset Experience Managers across Royal London managed assets. This role focuses on delivering specialised H&S compliance support and building operations functions that enable Asset Experience Managers to deliver best in class occupier service, maintain exceptional client delivery while ensuring operational efficiency and safety compliance across the Royal London portfolio.

Reporting Structure

Reports to the Asset Experience Services leadership team with matrix support relationships to Asset Experience Managers across the Royal London portfolio.

Key Responsibilities
Health & Safety Management
  • Support Asset Experience Managers to understand H&S legislation as it affects property management.
  • Support Asset Experience Managers to implement compliance measures across managed properties.
  • Manage risk actions and maintain risk registers with and on behalf of Asset Experience Managers.
  • Coordinate statutory compliance management activities and inspections.
  • Maintain and update Asset Sustainability Plans in conjunction with Asset Experience Managers.
  • Coordinate Risk Assessments with preferred suppliers.
  • Process and track Accidents & Incidents, ensuring proper reporting and follow-up.
  • Administer E-Permits (permits-to-work) system.
  • Support Audit compliance including ISO14001/LRQA audits.
Supplier Management
  • Support expenditure management including purchase order raising and invoice first approval.
  • Manage initial invoice queries and debt management, escalating to Asset Experience Managers as required.
  • Monitor helpdesk activities and response times.
  • Coordinate meter readings and monitoring in conjunction with utility consultants and framework partners.
  • Prepare quotes and work orders on the instruction of the Asset Experience Managers.
  • Support implementation of scope of service contract variations.
  • Ensure all supplier invoices are processed promptly and paid within 30 days.
  • Monitor cashflow and payment of invoices.
Works Management
  • Support property team on work orders, contracts, and site access coordination.
  • Liaise with contractors on operational matters.
  • Coordinate planned preventative maintenance schedules.
  • Track completion of remedial works and compliance activities.
ESG Support
  • Support property specific team and SMEs on EPC management.
  • Liaise with occupiers on utility meters and energy management matters.
  • Assist with sustainability reporting and data collection.
Data Management
  • Maintain current property records, data & information.
  • Manage email communications and filing systems.
  • Coordinate Teams management and document sharing.
  • Maintain H&S compliance registers and documentation.
  • Support preparation of operational reports.
General Support Functions
  • Provide information gathering and preparation for client reports.
  • Support property transitions and operational handovers.
  • Coordinate information for audits and inspections.
