Job Summary
The Ministry of Defence employs over 50,000 Civil Servants. Within that, the Army Top Level Budget (TLB) employs around 7,000 MOD Civil Servants located at over 300 locations. Ours is a diverse workforce, with roles ranging from trainers, human resources, teachers, and psychologists to storekeepers, financiers, project and programme managers, and policy secretariat staff. There are many different functions and professions delivering key outputs for the Army.
The Defence School of Logistics and Administration (DSLA), one of three schools in the Defence College of Support (DCSp), delivers training to all Army, Royal Navy and Royal Air Force service personnel in Supply, Distribution, Catering, and Personnel Administration. We are predominantly based at Worthy Down - a newly built, modern campus in Winchester. This role sits within the Worthy Down Support Unit. The Regimental Administration Officer (RAO) oversees the Imprest Officer, Regimental Accountant and the Joint Administration Office teams, that look after the finance and HR needs of DLSA's permanent staff and of the c10,000 students trained annually across the school.
This is an exciting opportunity to become part of an inclusive team working with Military and Civil Service colleagues who deliver key Personal Administration, Data Protection, Finance, and the auditing of Public and Service Charity funds. The work is varied and requires the ability to respond quickly to situations as they arise.
The position is advertised at 37 hours per week. While there may be the opportunity for home working after training has been completed, attendance to the stated site will be required.
Job Description
The role of Administration Officer is vital and varied.
You will lead a diverse Team of Military and Civil Servants across Auditing, Accounting and Military HR. You will be the Data Protection lead for the organisation and will have responsibility for ensuring that all Public and Non-Public funds are compliant with policy. You will have excellent communication skills and have an ability to tailor your approach to liaise with internal and external partners daily. This is a challenging and exciting role for those looking to learn and develop their skills within the business and have the individual proficiency in Microsoft 365 packages and accounting software (Outlook, Word, Excel, PowerPoint, MS Teams).
Specific Roles And Responsibilities:
- Internal Auditor for funds
- Provide advice and financial information
- Manage the Quality Assurance of personnel administration procedures
- Ensure staff support is provided
- Attend regular meetings to ensure smooth running of businesses within the unit
- The prompt and timely initiation and submission of reports for both Civilians and Military
- Act as focal point for the day to day administration for the site
- Manage working practices
- Advise Personnel on where to obtain professional assistance on service approved schemes.
Person specification
We are looking for someone with attention to detail and the ability to work independently and in a team.
You will have day to day engagement with staff members of all Services and grades so good communication skills (both written and oral) will prove successful combined with IT proficiency in Microsoft Office packages (Outlook, Word, Excel, MS Teams). You will also need to be able to demonstrate time management and interpersonal skills.
