Job Summary

The Ministry of Defence employs over 50,000 Civil Servants. Within that, the Army Top Level Budget (TLB) employs around 7,000 MOD Civil Servants located at over 300 locations. Ours is a diverse workforce, with roles ranging from trainers, human resources, teachers, and psychologists to storekeepers, financiers, project and programme managers, and policy secretariat staff. Here at 295 (Hampshire Yeomanry) Battery, Royal Artillery, part of 106 (Yeomanry) Regiment, Royal Artillery, we are a diverse, inclusive and dedicated team providing the Army’s Reserve Air Defence Capability with a workforce of highly trained, professional and friendly personnel.

We are looking for a friendly, well-organised and adaptable Administrator to help us maintain our critical outputs with personnel administration and deployment of our people to join our encouraging and welcoming team of dedicated military reserve, regular soldiers and civil servants in our Army Reserve Centre, Hilsea Portsmouth.

This position is advertised at 37 hours per week.

Job Description

The Administrative Officer is responsible for the provision of support and assistance to the Permanent Staff Administration Office (PSAO) in administering the documentation of all Battery reservist personnel.

Your Main Responsibilities Will Include:

  • Ensure personnel records both electronic and paper based are maintained accurately and up to date
  • Processing recruits onto the system
  • Monitor personal documentation expiry dates and medical review dates, informing individuals of appointments
  • Complete monthly management checks as laid down in the Unit Admin Manual, ensuring that all observations are noted and actioned
  • Maintain documentation checks to ensure continued accuracy
  • Support the PASO during any periods of preparing reserves for Overseas training exercises and Mobilisation
  • Provide Information Support Assistant (ISA) service to sub-unit staff for good Information Management (IM) and Data Protection practice
  • Promote the provision of IM and ensure compliance of IM policy by providing support and training to all iHub and service users
  • Provide admin support to reserves training nights as directed by PASO for 1 evening during the week. Overtime will be paid as Time of In Lieu
  • Conduct routine admin duties as required
  • Other duties as required

  • Must have a customer first ethos, and ability to provide a quality service

Desirable:
  • Have a working knowledge of JPA & Military Administration
  • Leadership
  • Previous Civil Service or Military Administration experience
  • Familiarity with Microsoft Office 365 products
