Key Responsibilities
- The following list is intended to give an indication of the range of duties and responsibilities attached to the post; it does not attempt to specify all aspects of the role.
- Manage the administrative arrangements relating to apprenticeship documentation, ensuring compliance with processes, policies and regulations. To co-ordinate and priorities, the workload between the team members to ensure workload is appropriately distributed
- To manage the Recruitment & Compliance Officers and Administration Team to ensure all ESFA funding and audit requirements are met effectively and efficiently, working with both internal and external partners
- To oversee the workflow process relating to the collation and collection of the apprenticeship evidence pack, ensuring key milestones are adhered to.
- Ensure that relevant staff have up to date information on apprenticeship requirements. Support the Apprenticeship Managers ensuring compliance with all funding body requirements and OFSTED requirements for the quality delivery of apprenticeship programmes.
- Working closely with internal teams such as - MIS, Finance, Quality and the Business Team.
- Ensuring that employers are compliant with ESFA eligibility rules, assisting employers in the management of their Digital Apprenticeship Service account (DAS)
- Support the Director of Apprenticeships to ensure DAS errors and PDSAT reports are acted upon and rectified in a timely manner.
- Assist the Director of apprenticeships with the internal audit schedule and undertake any reasonable duties as directed by line manager.
- Carry out regular audits of EBS, Maytas and other key systems ensuring compliance of core apprenticeship data.
- Managing apprentice data to ensure accurate ILR submissions and preparing regular reports for senior managers.
- To ensure the compliance report is up to date and accurate for monthly Apprenticeship Operational Group meeting.
- Managing the administration team for the Adult Education Budget (AEB) to ensure compliance, processes and policies are met.
- To keep own knowledge up-to-date with current Apprenticeship funding rules
- To be an active member of the College Wider Management Group.
- Ensure continuous development and improvement of professional knowledge.
- Any other duties of a similar level of responsibility as may be required.
Skills, Knowledge and Expertise
Essential Criteria
- Educated to a Level 4 standard in a Business, Education or Management
- Educated to GCSE standard which must include English and maths

- Business, Education or Management Qualifications

- Excellent IT skills with experience of using data bases that assist in the managing and monitoring of apprenticeship contracts
- Maintaining high levels of internal verification standards.
- Knowledge and experience of managing aspects of the apprenticeship/learner journey from sign-up to claim status.
- Experience and knowledge of supervising staff.
- Strong ability to manage employer and customer expectations.
- Working with Apprenticeship and curriculum teams
- Strong evidence of managing administration with high regard for detail.
- Exceptional interpersonal skills
- Ability to multi-task to ensure deadlines are met, with the ability to work under pressure
Specialist Knowledge
- Essential criteria:
- Experience of auditing and checking documentation to meet compliance conditions.
- Excellent knowledge of funding rules within Apprenticeships
- Knowledge of educational IT software programmes used to manage Apprenticeship contracts.
