Job description

Due to increased global growth, we are seeking a Air Freight Coordinator to be part of our Air Freight team at our offices based in London Heathrow.

You will coordinate Air Freight activities for Alpi UK.

Office Hours: Monday - Friday, 8.30am - 5.30pm (inclusive of one-hour unpaid lunch).

This role is office-based. (must be flexible with working hours)

Salary Range: £25,000.00 - £30,000.00 per annum (dependent on experience)

Key Roles and Responsibilities
  • Coordinate with network partners and UK clients to arrange shipments from origin to destination.
  • Understand INCOTERMS, risks, and liabilities associated with each term.
  • Maintain clear communication with all parties involved in shipments.
  • Ensure compliance with international trade regulations, customs, and export laws.
  • Quote shipments and apply agreed rates.
  • Build relationships with airlines for bookings and rate negotiations.
  • Handle export documents and customs declarations accurately and timely.
  • Follow instructions to produce airway bill pre-alerts, avoiding delays or penalties.
  • Monitor shipments and provide updates to partners.
  • Understand UK trade tariffs and HMRC volumes.
  • Report amendments to customs declarations immediately.
  • Use operational systems correctly and assist other departments as needed.
  • Communicate regularly with network and sales teams.
  • Identify and propose workflow efficiencies.
  • Maintain customs procedures and ensure report deadlines are met.
  • Follow SOPs accurately.
  • Manage goods under Alpi’s deferment account with approval processes.
  • Process invoices within 48 hours of receipt.
  • Ensure correct insurance charges and claims processing.
  • Support strategic initiatives related to air products.
  • Provide holiday coverage for staff as required.
Skills, Experience, and Competencies
  • Minimum 3 years’ experience in freight forwarding, ideally in air freight.
  • Knowledge of import/export multimodal business and air freight products.
  • Strong communication and presentation skills.
  • Proficient in Microsoft Office, especially Excel.
  • Understanding of logistics processes and procedures.
  • Ability to prioritize and organize workload with attention to detail.
  • Ability to work independently and as part of a team.
  • Flexibility with working hours.
