Due to increased global growth, we are seeking a Air Freight Coordinator to be part of our Air Freight team at our offices based in London Heathrow.
You will coordinate Air Freight activities for Alpi UK.
Office Hours: Monday - Friday, 8.30am - 5.30pm (inclusive of one-hour unpaid lunch).
This role is office-based. (must be flexible with working hours)
Salary Range: £25,000.00 - £30,000.00 per annum (dependent on experience)
Key Roles and Responsibilities
- Coordinate with network partners and UK clients to arrange shipments from origin to destination.
- Understand INCOTERMS, risks, and liabilities associated with each term.
- Maintain clear communication with all parties involved in shipments.
- Ensure compliance with international trade regulations, customs, and export laws.
- Quote shipments and apply agreed rates.
- Build relationships with airlines for bookings and rate negotiations.
- Handle export documents and customs declarations accurately and timely.
- Follow instructions to produce airway bill pre-alerts, avoiding delays or penalties.
- Monitor shipments and provide updates to partners.
- Understand UK trade tariffs and HMRC volumes.
- Report amendments to customs declarations immediately.
- Use operational systems correctly and assist other departments as needed.
- Communicate regularly with network and sales teams.
- Identify and propose workflow efficiencies.
- Maintain customs procedures and ensure report deadlines are met.
- Follow SOPs accurately.
- Manage goods under Alpi’s deferment account with approval processes.
- Process invoices within 48 hours of receipt.
- Ensure correct insurance charges and claims processing.
- Support strategic initiatives related to air products.
- Provide holiday coverage for staff as required.
Skills, Experience, and Competencies
- Minimum 3 years’ experience in freight forwarding, ideally in air freight.
- Knowledge of import/export multimodal business and air freight products.
- Strong communication and presentation skills.
- Proficient in Microsoft Office, especially Excel.
- Understanding of logistics processes and procedures.
- Ability to prioritize and organize workload with attention to detail.
- Ability to work independently and as part of a team.
- Flexibility with working hours.
