Job description

Job Title: Advanced Associate, HR Operations

Description: In this role you'll manage the contracting, deployment and allocation of Assessment Associates (examiners, moderators and verifiers) to ensure assessment coverage, operational targets and deadlines are met. This role aligns with industry titles such as Contract & Allocations Coordinator, Assessment Coordinator, Examinations Operations Coordinator or Assessment Deployment Coordinator.

Role

To manage the deployment of our examiners, moderators and verifiers, known as Assessment Associates (AAs), to assessment roles in a given area. You will be responsible for ensuring that sufficient AAs are contracted to meet target requirements for all areas that the Contract & Allocations Co-ordinator is responsible for.

This is a business-critical role covering an essential phase in the successful delivery of each contracting period. You will work to tight deadlines while managing varying priorities, meeting deployment targets, responding to customer queries, acting as a subject-specific contact and responding to urgent situations that frequently arise during the examination period.

What You'll Own

  • Take responsibility for a given area from across the range, managing and facilitating the contracting, deployment and allocation of AAs for each period of work, in line with forecast requirements and to tight deadlines.

  • Assess requirements and despatch sufficient contracts to ensure full coverage of the area is achieved by the target date, following up non-replies and ‘topping-up’ to cover AA withdrawals.

  • Act as the customer-facing contact for the subject areas responsible for.

  • Build a collaborative relationship with each of the stakeholders in the designated area of responsibility.

  • Lead, and work with, the seasonally contracted Deployment workforce to meet KPIs and deadlines.

  • Maintain a customer service focus on the relevant AA group, managing the relationship from the list of available examiners through to standardisation, and re-standardisation if required.

  • Maintain and update records using different database systems and respond to queries, both directly and via the Customer Relationship Management system.

  • Establish proficiency with various systems including Gateway, iSeries and Business Objects to ensure that all information is correct and up to date, so that the interface with other interdependent systems is secure.

  • Liaise with other areas of the business in order to achieve business objectives.

  • Assist with additional or ad hoc contracting during busy times or to cover during absence.

  • Assist colleagues within the Deployment team with their workload during peak times.

  • There may also be a requirement to become involved in a specialised area, such as the deployment of visiting examiners for Drama, PE and Modern Foreign Languages, or the deployment of non-AA activity to serve other Pearson projects and ventures.

About You

The successful applicant will have experience working in a busy office environment and will be able to demonstrate:

  • An ability to work effectively to tight timescales (Essential).

  • A commitment to delivering against KPIs and broader business objectives (Essential).

  • A keen attention to detail (Essential).

  • Experience of working in a constantly changing environment and ability to multitask (Essential).

  • Experience of dealing with confidential information (Essential).

  • A willingness to support colleagues (Essential).

  • An understanding of the Education Sector (Desirable).

IT Literacy

  • Intermediate MS Word and MS Excel, MS Outlook, MS PowerPoint (Essential).

  • Use of databases (Desirable).

What You'll Get

Standard 37.5 hours a week, office hours, Monday - Friday, but you will be required to be flexible during busy periods, including the possibility of working at weekends occasionally. Overtime may be paid or offered as time off in lieu.
