The Admissions Officer plays a vital role in student recruitment at Claremont School and in supporting the Admissions Team to meet enrolment targets. Reporting to the Head of Admissions, this role supports and contributes to the day-to-day admissions process, promotes Claremont as the school of choice in the local area, and communicates the school’s core message of Amazing Learning.
Acting as a true ambassador, the Admissions Officer engages with prospective families, agents, and the wider school community—including teaching and support staff—to ensure a seamless, customer-focused experience. Through personal interaction, the post holder will help convey the school’s values and educational vision with clarity and impact.

Key Responsibilities
● Manage and track admissions enquiries for both domestic and international students via the HubSpot CRM, ensuring all stages are logged and followed through.
● Provide timely, personalised responses to enquiries, addressing each family’s needs while delivering a warm, efficient, and customer-focused experience.
● Coordinate visits, interviews, and tours—both in-person and online—ensuring staff are well briefed and logistics run smoothly.
● Follow up on all enquiries, visits, and interviews to encourage progression to registration and application.
● Record reasons families choose not to proceed, maintaining up-to-date data for review.
● Coordinate entrance testing and interviews with academic staff, including Learning Support, for appropriate placement.
● Organise taster days, communicate clearly with staff, and ensure a positive experience for prospective pupils.
● Invite new families to transition events and complete onboarding steps.
● Oversee completion of all enrolment documentation, including Acceptance Forms, Terms and Conditions, Medical Forms, and permissions.
● For international students, ensure CAS, visa, and travel details are accurately recorded.
● Send tailored ‘Joining Packs’ with academic info, onboarding materials, and pre-start prep.
● Update the School Office with pupil roll changes and inform school leaders of new joiners and leavers.
● Support the Head of Admissions with student forecasting data for KPI reporting.
● Coordinate scholarship applications and assessments, liaising with relevant staff.
● Provide feedback on scholarship outcomes and maintain records of acceptances and declines.
● Support promotion of Amazing Learning by sharing student successes with families and the community.
● Assist in planning and delivering Open Events and engagement activities involving local businesses.
● Work with the Head of Admissions to coordinate Familiarisation Visits for agents.
● Collaborate with parent-facing staff to ensure smooth internal coordination and positive visitor experiences.
● Support post-enrolment communication and engagement with new families.
● Assist in implementing the school’s customer loyalty initiatives.
● Support school leadership with accurate enrolment and retention data, identifying trends.
● Help prepare reports and summaries, highlighting key insights.
● Maintain the CRM system with accurate data throughout the admissions pipeline.
● Contribute to retention goals by supporting administrative tasks and maintaining records.
● Ensure access to current retention data for tracking progress.
● Assist in delivering retention initiatives, gathering feedback, and early identification of at-risk families.
Other Responsibilities
● Undertake other tasks as assigned by the Principal and Head of Admissions.
Candidate Profile
● Excellent organisation skills
● High proficiency with Microsoft Office; experience with iSAMS, HubSpot, Engage is desirable.
● Strong customer service and problem-solving skills

● Native-level fluency in English; multilingualism is a plus
