Job description

1. Provide efficient and effective administrative support to Sussex MSK Health Services.

2. Manage office administration, assist with documentation, and ensure all clerical aspects of the service run smoothly.

3. The successful candidate will have good time management, the ability to use their own initiative, and excellent attention to detail.

4. The candidate should be proactive, well-organized, a team player, capable of problem-solving, and able to work independently.

5. Proficiency in a variety of IT applications or the ability to learn them is essential.

6. Excellent command of the English language is required.

7. Good interpersonal skills and the ability to communicate effectively at all levels are necessary for liaising with colleagues, clinicians, and IT support.

8. Handle incoming referrals by scanning, inputting data, answering patient calls, and performing other administrative duties.

9. Manage referral outcomes by answering calls, booking, amending, and cancelling appointments, and other admin tasks.

10. Monitor investigation waiting lists, liaise with clinicians, chase results, and perform related admin duties.

11. Perform other administrative tasks as required to keep the service operational.

12. This position does not include staffing responsibilities.

Additional responsibilities include:

  • Book, amend, and cancel patient appointments using the computer-based booking system and telephone system.
  • Arrange clinic cover within notified constraints.
  • Convert appointment slots under the direction of the Admin Lead.
  • Monitor waiting lists and prioritize patients based on wait times.
  • Order stock across all services, clinical and non-clinical.
  • Assist in covering other admin sites as needed.
  • Check referral details for completeness and accuracy, update patient records, and avoid duplication.
  • Liaise with professionals to prevent delays in referral processing.
  • Communicate clearly with professionals, agencies, and patients.
  • Maintain patient confidentiality and secure records.
  • Make or amend appointments and handle inquiries via telephone or written media.
  • Perform other duties within the remit of this post as required by the Lead Administrator.
  • Contribute to the development of the admin service.
