About the role

We are seeking a friendly, capable, and organisedAdministrator/Receptionist to join our Adult Community Mental Health team atHillmorton Health Campus. In this vital front-line role, you will providehigh-quality reception and administrative support while ensuring a smooth andwelcoming experience for patients and visitors.

Working closely with clinical teams and guided by theClinical Manager, you will help ensure that our services meet both Health NZWaitaha Canterbury and Ministry of Health (MoH) standards for bookingpractices, access, and care delivery.

  • Managepatient arrivals, departures, and phone queries efficiently.
  • Enterall patient contacts into Healthlinks (SAP) accurately and in a timelymanner.
  • Processreferrals and re-categorisation queries in consultation with clinicalstaff.
  • Maintain clear, timely communication withpatients about appointments and follow-ups.

Customer Service & Front of House

  • Delivera warm, respectful, and professional welcome to all patients and visitors.
  • Maintainpatient confidentiality and privacy at all times.
  • Checkand update patient demographics in the Patient Management System (SAP).
  • Identifyunwell patients and escalate appropriately to nursing staff.
  • Ensureexcellent communication with clinical teams and patients.

Transcription & Documentation

  • Typeand process dictated letters within 3–5 working days.
  • Formatand distribute outgoing correspondence within 24 hours of sign-off.
  • Ensureall documentation is accurate, professional, and completed to a highstandard.

Teamwork & Communication

  • Modelpositive, professional communication with all internal and externalstakeholders.
  • Activelycontribute to a supportive and high-functioning service environment.
  • Participatein meetings, training, and continuous improvement activities.

Other Duties

  • Assistwith additional administrative tasks as directed by the Clinical Manager.
  • Proactivelyidentify areas for improvement and request training where needed.

About you

  • Excellentcustomer service and communication skills – people are your priority.
  • Highlevel of accuracy, attention to detail, and the ability to meet deadlines.
  • Self-motivatedwith strong organisational and time management abilities.
  • Technicallyconfident – quick to learn new systems and processes.
  • Proficientin Microsoft Office (Word, Outlook, Excel).
  • Accurateand fast keyboard skills (50–70 wpm).
  • Acollaborative and proactive team player.
  • Previousexperience in a healthcare or hospital administrative role.
  • Familiaritywith medical terminology and public health systems.
  • Culturalawareness and the ability to engage with diverse populations.
  • Knowledgeof the Patient Management System (SAP) or similar systems.
