Job description

Administrator / HR Administrative Assistant with excellent organisation, communication, and administration skills is required for a busy Human Resources / Central Team at a well-established Multi-Academy Trust based in Coventry, West Midlands.

This role is known within the organisation as a Shared Service Assistant.

SALARY: £25,429 - £28,912 per annum + Generous Benefits (see below)

LOCATION: Coventry, West Midlands

JOB TYPE: Full-Time, Permanent

WORKING HOURS: 37 Hours per Week, All Year Round. Applications on a flexible basis welcome.

PLEASE NOTE: Full Driving Licence and Own Vehicle Essential.

You will be required to visit other Schools in the Trust when needed.

JOB OVERVIEW

We have a fantastic new job opportunity for an Administrator / HR Administrative Assistant with excellent organisation, communication, and administration skills.

As the Administrator / HR Administrative Assistant, you will deliver efficient, high-quality, effective, and professional support to schools in all aspects of a colleague’s employment.

You will manage multiple priorities and sources of data, support customer queries, compliance, and recruitment activity across the organisation.

DUTIES

  • Manage and resolve queries from school leadership and colleagues in a timely manner.
  • Build productive working relationships with key contacts across the Trust.
  • Coordinate administrative processes supporting compliance, recruitment, and employment lifecycle events.
  • Support recruitment and onboarding processes, ensuring compliance with policies and statutory requirements.
  • Maintain essential compliance data related to safeguarding, employment, and data protection, ensuring accuracy and currency.
  • Support employment lifecycle events through document production, data entry, and online record maintenance.
  • Streamline workflows and improve administrative efficiency across HR workstreams.
  • Maintain documentation, templates, and process maps for key workstreams.
  • Liaise with HR Business Partners on complex issues and customer needs.
  • Support report generation, formatting of presentations, and data summaries.
  • Participate in exploring AI utilisation to improve efficiencies.
  • Maintain visitor management safeguarding data and contribute to building knowledge across schools.
  • Handle sensitive information with discretion, maintaining confidentiality.
  • Support change initiatives, process improvements, and shared service best practices.

CANDIDATE REQUIREMENTS

  • GCSEs grade 4-9 (C or above) in English and Maths or equivalent.
  • Previous administrative experience.
  • Customer-focused service delivery.
  • Ability to work independently and as part of a team, engaging with internal and external stakeholders.
  • Proficiency in ICT systems for data management and interpretation.
  • Problem-solving skills.
  • Ability to work at pace, meet deadlines, and manage high-volume administration.
