Job description

Join our Occupational Health (OH) team as an Administrator - Healthcare. This role involves supporting the OH Team with various administrative duties, including processing and coordinating absence management referrals, arranging typing of clinical reports, appointment scheduling, handling telephone queries from clients and OH providers, assisting with invoice processing, and ensuring all clinical notes are correctly saved on SharePoint.

This position requires liaising with OH Case Managers, Occupational Health Clinicians, GP Surgeries, and Clinical Consultants to follow up on reports.

The Role

  • Process dictation daily and send to typing providers.
  • Check that all clinical notes are uploaded correctly to SharePoint by the scanning team.
  • Send reports to patients and clients as directed by OH/HR Case Managers/HR Case Adviser.
  • Manage assigned referrals, including requesting and confirming appointments.
  • Book and update absence case management appointments.
  • Update the online White Board with tracking information for typing and reports.
  • Monitor and progress tasks daily.
  • Follow up with GPs and specialists to chase reports by phone.
  • Assist with processing invoices from OH providers and GPs using the Ariba system.

Qualifications

The Requirements

Essential

  • Previous generalist administration experience.
  • Proactive work approach and excellent customer service skills.
  • Ability to build strong relationships with diverse stakeholders.
  • Excellent verbal and written communication skills.
  • Strong organisational and time management skills to handle multiple activities and meet deadlines.
  • High level of confidentiality, discretion, and knowledge of GDPR guidelines.
  • Problem-solving skills with the ability to find creative and pragmatic solutions.
  • Proficiency in Word.

Desirable

  • Knowledge of OH and HR best practices and a desire to further HR knowledge.
  • Experience working with databases, especially handling sensitive/clinical employee data and reporting.
  • Confidence working with different stakeholders.
  • Ability to learn, adapt, and innovate.
  • Understanding of the business environment in which WTW operates and awareness of industry issues.
