Job description

Based in the east end of Newcastle upon Tyne your role will be to provide secretarial and admin support to our clinical team.

The ideal candidate will have previously worked in a GP surgery or similar setting.

Main duties of the job

Working within the administration team you will be responsible for undertaking a wide range of secretarial and admin duties.

You will process information in a timely manner, liaising with multidisciplinary team members and external agencies such as secondary care and community service providers in accordance with current policies and guidelines.

Process incoming post: read code and workflow to appropriate staff members.

Dealing with patient and colleague queries in timely manner.

Job responsibilities

Primary Responsibilities

  • Liaising with external agencies such as hospitals and community services, ensuring referrals are processed efficiently and in line with current policies and guidelines.
  • Manage all enquires from patients and colleagues in an effective manner.
  • Typing letters, referrals, reports and associated documentation as required.
  • Action incoming emails.
  • Produce ad hoc letters as requested.
  • Scanning of patient related documentation and attaching scanned documents to patients medical records
  • Process incoming post. Accurately analyse and read code on to a patients medical record and workflow documents to staff members
  • Adhere to strict data protection and security guidelines at all times, completing all mandatory training requirements.
  • Answer incoming phone calls, transferring calls or dealing with the callers request appropriately
  • Support all clinical staff with general administrative tasks as requested
Person Specification
Experience
  • 1. Experience of working in a health care setting or similar undertaking administrative duties
  • 2. Understand the principles of data security and protection
  • 3. Ability to follow policies and procedures
  • 5. Competent in the use of Microsoft Office and Outlook
