Job Description:

Ashton Recruitment requires an Administrative Support Officer for our client based in Belfast City Centre.

Position: Administrative Support Officer

Location: Belfast

Duration: Temporary

Rate of Pay: £12.21 per hour

Hours of Work: 4 days a week

The client was established in 1981 and is an independent charity in Northern Ireland offering free and confidential support to individuals affected by crime, regardless of whether the incident has been reported or when it occurred.

Duties will include (but not limited to):
  • Acting as the first point of contact, which may include dealing with emotive situations or distressed callers and escalating as appropriate.
  • Telephone engagement with people who have recently experienced crime, promoting the services of the client to generate appointments.
  • Reception duties, including welcoming clients and volunteers, dealing with face-to-face enquiries, and maintaining the reception area.
  • Providing administrative support to staff and volunteers.
  • Administration of the Criminal Injuries Compensation Scheme within statutory deadlines until the first decision from Compensation Services is received.
  • Timely and accurate logging of information on the client management system, liaising with clients and agencies to gather and distribute information to meet scheme requirements.
  • Sending letters and emails and filing relevant information according to internal processes.
  • Maintaining a client booking system to ensure availability of rooms and facilities.
  • Maintaining office equipment, equipment register, and stationery supplies.
  • Ensuring full compliance with all financial, HR, and other corporate responsibilities applicable to the role.
Essential Criteria

Applicants must, as of the closing date, meet one of the following qualifications and experience:

  • 5 GCSEs/O' levels or equivalent, including English and Maths at grade C or above, with at least one year's experience providing effective administrative support in an office environment.
  • Or five years' experience providing effective administrative support in an office environment.
Skills and Experience:
  • Proven organizational skills in an office setting.
  • Strong interpersonal skills, both verbal and written, including experience handling high-volume telephone calls during peak periods.
  • Experience engaging with internal and external stakeholders.
  • Experience handling confidential information sensitively.
  • Ability to deal with people in emotive situations with sensitivity.
  • Attention to detail and accuracy in work.
  • Proficiency in Microsoft Office packages.
  • Experience inputting data into organizational case management systems and applications.
