Job description
Overview

Administrative Officer Homecare Services – fixed term/secondment for up to 19 months. Closing date is 05 October 2025. We have a secondment or fixed term opportunity to join our Medicines Homecare Team for 19 months.
We are looking for a proactive, organised, and people-focused individual to join us in delivering high-quality care from behind the scenes.

As part of our Pharmacy Department based in the Royal Glamorgan Hospital, you'll play a key role in supporting homecare services across the Health Board—processing prescriptions and invoices, liaising with homecare providers and clinicians, and helping ensure patients receive vital medication directly to their homes.

Previous experience in a healthcare setting is welcome but not essential. What matters most is your reliability, motivation, and commitment to supporting patient care. Responsibilities
  • Aid in the provision of an efficient Pharmacy: procurement and homecare services including ordering, receipting, invoicing and investigating and dealing with prescription queries.
  • Administrative duties for Homecare Service patients, interpreting prescription details and creating orders to Homecare suppliers using the pharmacy computer system homecare module. Liaising with patients/carers and Clinicians to ensure patients receive their medication in a timely manner.
  • Create patient-specific orders from prescriptions using the homecare module, determining the appropriate homecare supplier, quantity and medication.
  • Accurately goods receive pharmaceuticals delivered via homecare using electronic methods and the pharmacy system and issue stock to the correct patients whilst using the correct cost centre for charging purposes.
  • Accurately invoice and check purchased items using electronic methods and the pharmacy system and use judgement to resolve problems.
  • Work closely with pharmaceutical and homecare companies on delivery and invoicing, enabling prompt payment of invoices to ensure Health Board financial standing instructions and payment deadlines are met.
  • Monitor outstanding orders and invoices for homecare items and chase progress, liaising with patients/carers, clinical nurse specialists, clinicians and homecare providers to ensure patients receive their medication in a timely manner and that waste is minimised.
  • Delete all outstanding orders no longer required on a monthly basis, arrange returns and organise credits for shortages from suppliers.
  • Maintain electronic and paper systems for efficient and accurate storage of patient records for home care services provided to a growing number of specialities within the Health Board.
  • Plan workload to ensure all orders and invoices are processed in a timely manner.
  • Work according to the UHB standing financial instructions and follow standard operating procedures.
  • Maintain strictest confidentiality of information about patients, staff and other health service business in accordance with the Data Protection Act.
