Job Title: Part-Time Administrative Assistant

Location: London, Mayfair

Hours: Part-time hours, 24 hours per week Tue, Wed, Thursday

Please note this is a fixed term contract.

We have a rare opportunity for a Part-Time Administrative Assistant to support the smooth running of our client’s operations. We are seeking a proactive and highly organised individual with experience in a supporting administration role. This role is ideal for someone who thrives in a dynamic

environment, enjoys multitasking, and takes pride in delivering high-quality administrative support.

Key Responsibilities

  • Expense Management: Create and process staff expense reports accurately and efficiently.
  • Travel Coordination: Arrange domestic and international travel, including hotel bookings and itinerary management.
  • Calendar & Meeting Management:
  • Manage calendars, schedule appointments, and organize meetings and conference calls.
  • Specifically manage Senior Executive’s calendar, including quarterly staff meetings, new starter introductions, and internal meeting requests.

Event Planning:

  • Organise a variety of Cubist social events such as:
  • Monthly wine & cheese socials
  • Seminars and town halls
  • Lunches with the Executive Team and guests
  • New starter welcome lunches
  • External socials and the annual Christmas dinner
  • Board & Meeting Support: Assist in preparing documents for board meetings and other key meetings.

Skills & Experience

  • Proven experience in an administrative or office support role.
  • Excellent organisational and time management skills.
  • Strong attention to detail and ability to multitask.
  • Excellent Proficiency in Microsoft Office (Outlook, Word, Excel, etc.).
  • Friendly, professional demeanour with strong interpersonal skills.
  • Ability to handle confidential information with discretion.
