Broxburn Academy are seeking an Administrative Assistant to join our school office.

Purpose of the job

To undertake all Admin work for the school as directed by the Head Teacher.

Principal Accountabilities/Key Tasks

  • General Administration in accordance with defined guidelines and procedures.
  • Finance - Ensure efficient and accurate information is available on all school finances by utilising appropriate systems.
  • Data Management - Responsibility for maintaining all information kept within the school in accordance with Data Protection requirements.
  • ICT - Implement and support school MIS System and upgrades as necessary.

The Individual

  • Strong effective customer care skills required to deal with front line customers at various levels externally and internally.
  • Effective communication skills verbally and in writing.
  • Contribute as an active team member to achieve objectives and goals set by the school and WLC.
  • Implement and maintain systems to create an efficient and effective office environment to meet the needs of in house and environmental demands.
  • Proactive in responding to new challenges.
  • Preparation and recording of financial reports and statistics.
  • Reasonable standard of education - equivalent to Higher Grade/SVQ Level
  • Secretarial qualifications.
  • Experience of working with IT applications in an office environment.
  • Excellent word processing skills.
  • Good working knowledge of Excel

Desirable

  • Knowledge of PECOS (electronic ordering and invoicing)
  • SEEMIS (electronic Data Base for pupil and staff records)
  • Flexible and adaptable and be able to work on own initiative in a complex office environment.
  • Must be able to multi task work under pressure with competing demands and prioritise own workload.
