Job description

Role profile

We have a great opportunity for an Administrative Assistant to support our Real Estate department on a 12-month fixed-term contract. The role is based on-site in our central Bristol office, working from 9am to 5pm, Monday to Friday.

The Team

This position is within our central Business Support Team, but you will be aligned with the Real Estate department. The Real Estate support team comprises PAs and Legal Secretaries, and the position reports to the Real Estate Senior PA.

What you'll do

The main purpose of this role is to provide high-level administrative support to the PA and legal teams, as well as other areas of the business when requested. Responsibilities include but are not limited to:

  • Managing deeds, including checking deeds, typing schedules, assisting with deed audits, requesting, returning, and posting deeds. Liaising with key clients to keep deed records up to date.
  • Scanning, photocopying, printing, and binding documents.
  • Preparing letters, special delivery, and courier forms.
  • Saving and distributing scanned post.
  • Assisting with all aspects of billing.
  • Running WIP Manager reports.
  • Updating and maintaining data rooms, both internal and client-based.
  • Using the Land Registry website and the Avail Platform to order searches and copy documents.
  • Using Search Acumen to request property searches.
  • Handling telephone enquiries.
  • Assisting the PA team with monthly billing.
  • Managing Large File Sends (LFS).
  • File closures.

Skills and experience required

  • Previous office-based administrative experience.
  • Excellent attention to detail.
  • Ability to work well under pressure.
  • Proficient in Microsoft Word, Excel, and Outlook.
  • Excellent written and verbal communication skills.
  • Strong organizational skills.
  • A proactive and collaborative approach.
