Our client, a highly established and reputable trade association with 250+ members representing 95% of all UK sales of paints, coatings, printing inks, and wallcoverings, is seeking an Administrative Assistant to join their team.
Duties and Responsibilities of the Administrative Assistant
- Act as a point of contact for membership enquiries.
- Provide membership-related advice and administrative support to members, applicants, and customers.
- Maintain accurate records of members on the CRM system, ensuring compliance with data protection guidelines.
- Distribute member communications, referencing and distributing information to technical committees, and upload information to the website.
- Produce and distribute certificates and welcome/renewal packs for new and existing members.
- Cover the Technical and Membership Executive in their absence.
- Support general administration tasks, including member communications and covering staff absences.
- Manage member meetings through the CRM system and internal calendar, coordinate meetings, liaise with attendees, speakers, and venues.
- Handle member and external meeting bookings, including hosting and liaising with venues.
- Greet visitors and members.
- Support catering orders for meetings and events, including occasional overnight stays for four events per year.
- Assist with general office administration and conference & awards support.
Person Specification
- CRM system experience – Essential
- Experience with ASANA – Essential
- Proficiency in IT/Microsoft Office – Essential
- Minimum 3 years of administrative experience – Essential
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
- Excellent organizational skills and ability to work independently and in a team.
- Strong interpersonal and communication skills, both verbal and written.
- Outstanding attention to detail.
- Ability to process applications, organize documents, and track progress efficiently.
- Maintain a positive, courteous, and professional demeanor when interacting with applicants.
- Flexible team player capable of working under pressure and tight deadlines.
