Exciting Opportunity: Administration Team Leader.

Are you an experienced administrator who enjoys leading a team? We have an exciting opportunity for a motivated, dynamic, and results-driven individual to lead our well-established administration team. We are looking for someone capable and proactive in leading and coordinating an integral part of our service.

As the Administration Team Leaderat Change Grow Live Coventry, you will play a pivotal role in ensuring our service operates smoothly, safely, and efficiently. Your leadership will directly impact the quality of support our teams can provide to people accessing our services.

We are looking for someone with strong leadership skills, experience in managing large office systems and teams, and a proactive, solutions-focused mindset. You’ll have the confidence and skill to develop and embed robust admin processes, support staff development, and continuously improve systems to meet service needs.

Location: CoventryHours: Full Time 37.5 per week,Full Time Salary Range: £35,220.59 - £37,184.91 (based on full time working hours pro rata for part time)

*Please note: Full-time hours at Change Grow Live are 37.5 hours per week. For part-time roles, the salary and payments will be pro rata based on contracted hours.

Responsibilities

About the role:

  • Clinical, data and general administrative support

  • Reception cover and stakeholder communications

  • Oversight of prescription and controlled stationery processes

  • Management of day-to-day office systems and building functions

  • Full Health & Safety compliance across the site, acting as the building H&S lead
  • Provide leadership, support, and development to a dedicated team of staff.
  • Maintaining high-performing and motivated admin teams
  • Help staff improve service user outcomes through observation, feedback, and values-based coaching.
  • Oversee all administrative processes to ensure our services are efficient and effective, making improvements as needed.
  • Actively responsible for developing the team through coaching and embedding excellent customer service.
  • Expected to anticipate and plan for future service demands to ensure capacity.

  • Leads modernisation and streamlining of admin workflows and infrastructure.

  • Oversees formal communication systems, including stakeholder responses and phones/email coordination

  • Holds direct accountability for health and safety compliance and is the lead for audits and risk assessments.

  • Responsible for the effective and safe use of the building and working environment
  • Requires experience in change management, staff engagement, and service improvement.
  • Supporting senior managers with high-quality, personalised administrative assistance

  • Support registered Manager in ensuring full compliance with regulatoryCQC and H&S standards

  • You have excellent verbal and written communication skills and are proficient in MS Office applications (Word, Excel, Outlook).

  • Understanding of how data and performance information to plan, manage capacity, and uphold service quality
