Job description

We are looking for a proactive, detail-oriented team leader to join our large administrative team. The postholder will be responsible for managing a specialty admin team and ensuring that key operational standards are met, such as activity and theatre utilization targets.

  1. Take overall responsibility for the administrative work carried out by the administrative team within a designated specialty or department.
  2. Proactively monitor the patient pathway to ensure that all elements of a patient's care are arranged appropriately and in a timely manner.
  3. Provide day-to-day management to a team of Administration Assistants and Coordinators, including handling informal disciplinary, grievances, performance issues, and sickness management.
  4. Allocate work to the administration team, considering department priorities and using judgment to delegate work appropriately.
  5. Identify potential delays or issues with a patient pathway or breaches, and take preventative steps, such as chasing diagnostic tests and results.
  6. Lead and participate in PTL meetings.
  7. Organise meetings for the clinical team, act as secretariat for specialty meetings, prepare agendas, take minutes, and update action trackers.
  8. Support governance issues, including patient complaints, PALS queries, and DATIX responses, gathering information to support responses.
  9. Proactively review service capacity, identify potential issues, recommend remedial actions, and work with the clinical team to address them.

This role involves working closely with patients and staff across various departments. Strong interpersonal skills are essential, as the postholder will be the primary contact for colleagues, patients, relatives, and other organisations.

Excellent organisational and communication skills, professionalism, flexibility, accuracy, and the ability to work autonomously within a busy environment are essential.
