Overview

A Vacancy at Essex Partnership University NHS Foundation Trust.

West Community Health Administration Service have an exciting opportunity to join us as Band 3 Administration Officer supporting Care Coordination Centre Hospital at Home Team. Part time hours covering shifts 7 days per week.

Responsibilities
  • Provide high quality and efficient administration services to support clinical services and functions within the Trust's localities.
  • Record patient data accurately on SystmOne and ensure timely and accurate recording of all activity across services using Trust information systems.
  • Maintain smooth running of the office, including stationery audits and operating as a centralised administration service.
  • Provide telephone support, including receiving and making calls to patients, making appointments on SystmOne, and handling general appointment queries.
  • Support patient care with a positive and compassionate approach, handling telephone calls from patients professionally.
  • Build effective working relationships, be approachable and flexible in approach, and work as part of a team to cover absence across services/locations.
  • Relocate to different sites as required to provide cover for administration across services.
  • Support the administration service to ensure a high quality and efficient service at all times.
  • Operate the Trust's central telephony systems and ensure referrals are actioned in a timely manner.
Qualifications and Skills
  • Experience of administration with excellent interpersonal and organisational skills.
  • Computer literacy with MS Word and Excel; training provided on SystmOne and other internal systems.
  • Positive and compassionate approach to supporting patient care.
  • Ability to work in a professional, efficient, friendly and polite manner.
  • Ability to build effective working relationships and be flexible in approach to work.

Notes

Responsible for ensuring all correspondence is accurately presented using trust and departmental procedures and medical terminology used by clinical staff. Proficient with patient records management, supporting new users and instructing them as necessary. To operate the Trust’s central telephony systems. To ensure all referrals are actioned and processed in a timely manner. Incoming phone calls are answered and dealt with to minimise waiting times.
