Administration Manager Occupational Health

This is an exciting opportunity to join the Occupational Health Service Team as our Office Manager.

We are looking for an enthusiastic, proactive and experienced Office Manager to be responsible for the day to day management of an allocated group of administrative staff within the Occupational Health Service.

Main duties of the job

The post holder will be responsible for co-ordinating the day to day management of the Occupational Health Administrative Team in a professional, efficient and confidential manner.

The successful post holder will support the Multidisciplinary Team in managing all correspondence, including emails and action logs and be an integral part of supporting service delivery.

The ability to speak Welsh is desirable for this post; English and/or Welsh speakers are equally welcome to apply.

About us

Hywel Dda University Health Board is the planner and provider of NHS healthcare services for people in Carmarthenshire, Ceredigion, Pembrokeshire and its bordering counties. Our 12,000 members of staff provide primary, community, in-hospital, mental health and learning disabilities services to almost 400,000 people across a quarter of the landmass of Wales. We do this in partnership with our three local authorities and public, private and third sector colleagues, including our volunteers, through:

Four main hospitals: Bronglais General in Aberystwyth, Glangwili General in Carmarthen, Prince Philip in Llanelli and Withybush General in Haverfordwest.

Two integrated care centres (Aberaeron and Cardigan, Ceredigion).

48 General Practices (GP surgeries), 49 Dental Practices, 98 Community Pharmacies (chemists), 44 General Ophthalmic Practices (including eye health and low vision services), 38 sites providing mental health and learning disability services, care within your own homes

Highly specialised and tertiary services commissioned by the Welsh Health Specialised Services Committee, a joint committee representing seven health boards across Wales.

Qualifications and Knowledge
  • Degree in a relevant subject or an extensive equivalent level of experience in business administration
  • Fully proficient in the use of IT software packages
  • Knowledge of NHS processes
Experience
  • Significant experience in a secretarial/administrative role
  • Supervisory and/or managerial experience
  • Awareness of data protection and confidentiality
  • Evidence of report writing and excellent organisational and planning skills
  • Proven track record of change management
  • Experience of working within an Occupational Health setting
Other
  • Ability to travel between sites in a timely manner as demanded by the role
  • Flexible approach to the needs of the Service
  • Welsh Speaker (level 1)
