Job description

To facilitate the delivery of high-quality care by ensuring the efficient operation of the appointments system in the Pre-operative Assessment Unit and assisting in updating electronic waiting lists in collaboration with clinicians and managers.

This position is not currently eligible for a certificate of sponsorship under the UK Home Office guidance, as it does not appear on the skilled worker visa occupation list.

Main duties of the job

Provide administrative support for appointment and reception services in the Pre-operative Assessment Unit, ensuring clinics are prepared to high standards.

  • Liaise with nursing staff, consultants, secretarial, and other disciplines.
  • Adhere to Trust and departmental standards.
  • Input computer transactions for appointment bookings.
  • Record accurate information about clinic attendances.
  • Book patients into clinics and input relevant data.
  • Arrange return clinic appointments if needed.
  • Update relevant consultants' waiting lists.
  • Assist patients with general inquiries.

Job responsibilities

Assist patients, relatives, and colleagues by handling telephone and face-to-face inquiries professionally and sympathetically, tact may be necessary for sensitive situations.

Ensure all necessary medical records are obtained and prepared for clinics in a timely manner, maintaining confidentiality and privacy.

Manage patient transport bookings in line with NHS and Trust policies.

Provide accurate clinic information from the PAS system, including additional data and reports as needed for management and clinical staff.

Offer cross-cover within departments during planned or unplanned leave, including Ward 20, Theatres, Procedure Suite, and Dales Suite.

Manage workload independently, prioritizing tasks and referring complex issues to supervisors or managers.

Attend staff development reviews and mandatory training as directed by the Speciality Admin Manager.

Undertake additional duties as directed to support department functions.

Person Specification

Qualifications

  • OCR 2 word/text processing certificates or equivalent experience
  • NVQ Level 2 in Customer Care/Business Administration or equivalent

Experience

  • Experience in a busy office environment
  • Experience dealing with the public regarding interviews and application forms
  • Experience using health systems (e.g., SystmOne)

Knowledge

  • Understanding of office practices and NHS working environments
  • Knowledge of confidentiality, Caldicott principles, and data protection

Skills

  • Proficiency in Microsoft Office or similar programs
  • Handling medical records
