Job Introduction

Join our team as a full-time Administration Assistant and play a vital role in supporting the smooth day-to-day running of services across our Essex Business Unit.

Working closely with the Business Administrator, you’ll contribute to key functions across Operations, Quality, and Service Improvement. Based at Seax House in Chelmsford, the role offers flexibility in on-site attendance, adapting to the needs and demands of the service.

Main Responsibility

  • Provide comprehensive administrative support to the Business Unit Head, Administrator, and wider Senior Management Team.
  • Support the management and updating of policies, Standard Operating Procedures (SoPs), document trackers, and competency records.
  • Monitor and manage the Senior Management Team (SMT) Admin inbox.
  • Organise and support meetings, including scheduling, agendas, papers, minute-taking, and action tracking.
  • Act as a first point of contact for the SMT, handling calls, emails, and messages—some of which may be complex or sensitive.
  • Assist with planning and delivering workshops, training sessions, and events.
  • Collate and submit timely information for monthly and quarterly reporting.
  • Deputise for the Business Unit Administrator during absences.
  • Build effective working relationships across internal teams and external partners.

The Ideal Candidate

  • GCSE English and Maths (Grade C/4 or above) or equivalent
  • Confident communicator with strong written and verbal skills
  • Excellent time management and organisational abilities
  • Proficient in Microsoft Office with standard keyboard skills
  • Able to prioritise tasks and coordinate effectively with others
  • Strong attention to detail and ability to stay calm under pressure
  • Self-motivated, reliable, and committed to providing great customer service
  • Flexible team player with a proactive approach to work

This role may also require travelling to other sites so a full, clean driving licence and access to a vehicle is required.
