Job description

We are seeking a proactive and detail-oriented Administrative Assistantto join our team. The ideal candidate will possess strong organisational skillsand a professional demeanour, ensuring the smooth operation of our officeenvironment. This role involves a variety of administrative tasks that supportour daily operations and contribute to the overall efficiency of the service.

Hours: Part Time (15-20 hours per week)

Pay: £12.45 per hour

Schedule: Wednesday-Friday (shift patternnegotiable but altered/additional days may be required initially to fulfiltraining)

Main duties of the job

To work as part of a team providing a full administrativeservice to ensure the smooth operation of community-based clinics deliveringNHS Health Checks, as commissioned by Lancashire County Council.

This will involve dealing with clinic creation, patientappointment bookings and general queries, tracking patients through the system,stock taking and ordering of consumables and other relevant duties as requestedby the NHS Health Checks Manager.

Job responsibilities

Key responsibilities:

  • To communicate with potential community venuesand employers about holding NHS Health Checks clinics, explaining to them thepurpose of the NHS Health Checks program.
  • Create clinics on internal booking systems, aswell as the marketing materials and booking links.
  • To transfer patient bookings from emailconfirmation to our appointment system.
  • To ensure all information collected is heldsecurely and in confidence.
  • Ensure all patient consultations are sent topatients GP.
  • To always answer the telephone in a courteousand pleasant manner.
  • Respond to any requests to provide appropriateinformation from contacts, venues and patients.
  • Working with the NHS Health Checks Manager andother key staff within the company to develop effective administrativeprocesses.
  • To undertake relevant training wherenecessary.
  • General office duties including stock taking andplacing orders with suppliers.
  • To assist with staff planning.
  • To assist with Quality Control audits on ourpoint of care testing analysers.
  • To carry out other relevant duties as instructedby the NHS Health Checks Manager.

Experience
  • Experience of working in an office environment carrying out administration duties.
  • Experience of computer programmes and IT systems. Experience taking calls and dealing with enquiries over the phone.
  • Able to work under pressure and have a degree of resilience.
  • Able to demonstrate effective team working.
  • Information Governance understanding and awareness.
  • Experience within a healthcare environment. Experience of clinical systems.
  • Excellent communication skills (verbal and written). IT skills.
Qualifications
  • Educated to GCSE/O Level standard including English Language and Mathematics or equivalent training or healthcare related qualification.
