Administration and Failsafe Manager

1 Full time (37.5 hours per week) post to work within the Humber Diabetic Eye Screening Programme office at Hull Royal Infirmary.An exciting opportunity has arisen for an enthusiastic, flexible and motivated person to join the Humber Diabetic Eye Screening Programme as an Administration & Failsafe Manager. The successful applicant will work with the Diabetic Eye Screening team supervising a team of administrative and failsafe staff undertaking appraisals, supervision, training and development of staff.

The Administration and Failsafe Manager will be accountable for the delivery of the service specification and provide senior and expert knowledge to manage the administrative and failsafe processes attached to patient pathways within the Humber Diabetic Eye Screening Programme.

Main duties of the job

Overseeing service administration and failsafe to ensure compliance with national guidance, quality assurance standards and the local operating procedures. To assist the failsafe and administration team in the operational running of the service. Attention to detail is vital and the ability to follow strict information governance procedures.

Monitor the performance of the administration and failsafe teams, supporting the development of team members against agreed objectives.

The Administration and Failsafe Manager is accountable for the management and welfare of the administration and failsafe team and for integrating the service administration and failsafe into a single resilient function to the highest quality.The post holder would be required to work towards and complete an Administration Qualification in Diabetic Eye Screening within 6 months of appointment to post.The Trust is undergoing service transformations and review, therefore there may be a requirement in future for weekend work. Applicants must be able to demonstrate excellent interpersonal, communication and team working skills, together with an ability to prioritise workload and work flexibly under pressure to achieve deadlines.

Job responsibilities

The successful applicant needs be able to confidently and competently work under pressure dealing with a large workload in a busy office. An excellent telephone manner is required as the post holder is the point of contact for patients. The role also requires occasional face to face contact with patients.

Person Specification
Education and Qualifications
  • Degree-level qualification or equivalent managerial qualification or experience
  • GCSE level grades A-C in Maths and English Language or equivalent
  • Administration Certificate in Diabetic Eye Screening or working towards
Knowledge, Training and Experience
  • Experience of managing the administration department in an NHS organisation
  • Knowledge of the National Diabetic Eye Screening Programme service objectives and quality assurance standards
  • High level of administrative organisational experience, including the setting up and maintenance of processes and systems, preferably within a screening programme
  • Experience of managing patient administrative systems, and developing and implementing new processes
  • Experience of managing staff, including organising and delegating workloads, recruiting, training
  • Ability to analyse data and generate reports (e.g. use of excel spreadsheets)
  • Previous experience of working within a Diabetic Eye Screening Programme
  • Experience using Lorenzo and Medisoft electronic patient record system
  • Knowledge of diabetic retinopathy screening pathway
