Job summary

Job description

Job Overview

To provide a hybrid, comprehensive, confidential administrative, clerical and business support to the Speciality Administration manager who covers Theatre/Anaesthetic/Pre-op and Elective day case ward and the Elective Admissions Manager. The post holder is required to communicate and liaise with directorates, divisions and stakeholders and produce work to deadlines. This is a key role supporting the effective running of the Elective admissions team and Speciality areas and support the streamlining of the surgical pathway which contributes to the co-ordination and delegation of work whilst ensuring consistency with the agreed work plan. This may include monitoring and reviewing administration staff within the team and providing advice, support and cover when necessary

This position is not currently eligible for a certificate of sponsorship in line with Home Office guidance as it does not appear on the skilled worker visa occupation list.

Main duties of the job

Support project development and identifying resources required, ensuring all materials and resources are current and appropriate

Support and supervise the maintenance of waiting lists and speciality areas, cross covering the Band 4 when on leave, supporting the Band 5 Speciality Administration manager and the Band 6 Elective admissions manager in achieving the national targets and guidelines.

Contribute to the effective and efficient running of the department by:

  • Assisting administrative colleagues as and when possible.
  • Performing tasks specific to the area

Undertake any other duties as directed by the Elective Admissions Manager or Speciality Manager.

Cross cover the Elective Admissions Supervisor in their absence

Deputise for the Elective Admissions Manager when necessary

Qualifications

Essential criteria

  • Achieved Grade C in GCSE (or equivalent) Maths & English
  • OCR 2 word / text processing or equivalent experience
  • NVQ Level 3 in Business Administration or Equivalent

Desirable criteria

  • ECDL
  • NVQ level 4 in Business Administration or equivalent
  • OCR 3 word / text processing or equivalent

Experience

Essential criteria

  • Experience of staff supervision & managing workloads
  • Effective working knowledge of Inpatient / Daycase Booking
