Job description

This is a part time job role for 30 hours per week, however we can be flexible with this for the right candidate

Applicant must be flexible and work between the hours of 8am and 6.30pm Monday to Friday.

The purpose of the role is to:

Offergeneral assistance to the Practice team and project a positive and friendlyimage to patients and other visitors, either in person or via the telephone.

Receive,assist and direct patients in accessing the appropriate service or healthcareprofessional in a courteous, efficient and effective way.

Undertakea variety of administrative duties to assist in the smooth running of the Practiceincluding the provision of secretarial and clerical support to clinical staffand other members of the Practice team.

Facilitate effective communication between patients,members the primary health care team, secondary care and other associatedhealthcare agencies

Main duties of the job
  • Opening up/locking-up of Practice premises and maintaining security in accordance with Practice protocols
  • Maintaining and monitoring the Practice appointment system
  • Processing personal and telephone requests for appointments, visits and telephone consultations, ensuring callers are directed to the appropriate healthcare professional.
  • Processing and distributing incoming (and outgoing) mail
  • Taking messages and passing on information
  • Signposting and responding to online Ask My GP requests
  • Filing and retrieving paperwork
  • Processing repeat prescriptions in accordance with Practice guidelines
  • Computer data entry/data allocation and collation; processing and recording information in accordance with Practice procedures and protocol for the workflow role
  • Initiating contact with and responding to requests from patients, other team member and associated healthcare agencies and providers
  • Assist clinicians with chaperone duties following chaperone training completion
  • Adhere to Practice Policies and Procedures and Employee Handbook conditions.
  • Attend PLT training afternoon on the designated Thursday of each month for mandatory training.
  • Process incoming documents to the Practice via the scanning and workflow protocol
About us

Princess Road Surgery is a small practice based in Withington with a patient list of approximately 5000 patients. We have a team of friendly admin staff, Practice Nurses, GPs , Pharmacists and First Contact Physio. The surgery is open between the hours of 8am and 6.30pm Monday to Friday and closed bank holidays.

Job responsibilities

Duties and Responsibilities:

The duties and responsibilities to be undertaken by members of the Practice administration team may include any or all of the items in the following list. This is not an exhaustive list and duties may vary from time to time under the direction of the Practice Manager, dependent on current and evolving Practice workload and staffing levels:

  • Opening up/locking-up of Practice premises and maintaining security in accordance with Practice protocols
  • Maintaining and monitoring the Practice appointments system
  • Processing personal and telephone requests for appointments, visits and telephone consultations and ensuring callers are directed to the appropriate healthcare professional.
  • Processing and distributing incoming (and outgoing) mail
  • Taking messages and passing on information
  • Signposting, responding to patient requests on Ask My GP
  • Filing and retrieving paperwork
  • Processing repeat prescriptions in accordance with Practice guidelines

  • Initiating contact with and responding to requests from patients, other team member and associated healthcare agencies and providers
  • Providing clerical assistance within the Practice team as required including word/data processing, filing, photocopying and scanning
  • Ordering, re-ordering and monitoring of stationery and other supplies.
  • Provision of refreshments for staff and visitors as required.
  • Keeping the reception area tidy and free from obstructions and clutter
  • Assist clinicians with chaperone duties following chaperone training completion
  • Adhere to Practice chaperone policy when assisting as above.
  • Adhere to Practice Policies and Procedures and Employee Handbook conditions.
  • Attend PLT training afternoon on the designated mandatory training.
  • Process incoming documents to the Practice via the scanning and workflow protocol where appropriate (separate role to reception duties)
  • Being flexible in order to ensure that reception is always covered.
Person Specification
Experience
  • Experience in working within the NHS (Primary Care) is desirable , but not essential as all training would be provided.
  • Knowledge of Microsoft Office (Excel, Word etc)
Qualifications
  • GCSE and IT skills essential
