Position: Admin Officer

AO Pay Rate: £12.97 per hour

Hours: Full time, 37 hours per week

Start Date: As soon as possible

Location: Castle Buildings, Stormont

Length of Contract: 9 months

H ours of Work: 9 to 5 Monday to Friday (Flexi Arrangements also apply)

Job Duties:

This vacancy is in the Safety Strategy Unit (SSU), which sits in the Quality, Safety and Improvement Directorate (QSID) of the Healthcare Policy Group. The branch is responsible for several key national safety processes and alerts, and also provides a corporate and finance-based administration function to the Directorate.

The AO post holder will need to have well developed planning, time management and organisational skills and work well within a small team. The post holder will require an ability to co-ordinate and collate the work of others to enable the achievement of required branch deadlines.

The duties of the post will include, but are not restricted to:

Machinery of Government
• To update and maintain a central correspondence log of Private Office correspondence on behalf of QSID.
• To liaise with Private Office and issue reminders to lead officials for responses.

Finance
• To raise purchase orders, receipt and process invoices and expenses for SSU and other branches within QSID.
• To liaise with suppliers and ALBs in respect of financial arrangements or queries as appropriate.
• To maintain spreadsheets in relation to expenditure within SSU and other branches within QSID.
• To run reports on Account NI to assist with the production of financial returns.

Mailboxes and Correspondence
• To monitor the Quality and Safety mailbox and collating timely responses as required.
• To issue SSU circulars and Safety Alerts to ALBs.

Early Alerts
• To distribute in a prompt and timely way, notifications received from HSC Chief Executives and their senior staff of events which have occurred which may require urgent attention by Minister, Policy Leads or Chief Professional Officers.

General
• To provide general administrative support where required.
• To assist all levels of SSU in the delivery of daily business.
• To coordinate and arrange meetings / staff and room availability.
• To support the SSU team and wider directorate with electronic record management duties.
The above duties are intended to indicate the broad range of responsibilities and requirements of the post. It is not an exhaustive list and the post holder may be required to carry out other duties as directed by the Head of Branch/Division according to business need.

Must have 5 GCSEs including Maths & English (must be able to show certificates)
