Main Goal:

To be the initial point of contact for client communications, questions, and service coordination while offering effective administrative assistance. This position guarantees efficient daily operations and excellent customer service.

Principal Duties:

1. Assistance with Administration

  • Manage routine office duties, such as data entry, paperwork, and filing.
  • Oversee internal team scheduling, meetings, and calendars.
  • Organise and update customer and business information in CRMs or databases.
  • Manage and arrange both physical and digital file systems.
  • As required, create presentations, letters, reports, and other business documents.
2. Customer Service
  • Respond immediately and professionally to incoming phone calls, emails, and texts.
  • Respond to consumer questions, fix problems, or forward to the proper divisions.
  • To guarantee prompt resolution, keep track of and follow up on client requests or grievances.
  • Continue to solve problems and listen intently to maintain high levels of client satisfaction.
3. Customer Service
  • Assist with new client onboarding by providing service briefings, account setup, and documentation.
  • Act as a point of contact for internal teams and clients to guarantee effective communication.
  • Plan the provision of services, follow-ups, and feedback gathering.
  • Keep client records up to date and make sure contracts are being followed.
4. Interaction and Arrangement
  • Provide clients and coworkers with clear updates, schedules, and instructions.
  • Work together with other departments to efficiently satisfy client needs.
  • Create and distribute client service reports to management on a daily or monthly basis.
5. Observance and Documentation
  • Verify that internal files and client paperwork adhere to corporate policies and compliance guidelines.
  • Keep accurate and current records to aid internal audits.
