Job description

We are looking for 2 candidates to provide an effectiveand efficient administrative and clerical service to the Quay Healthcare Adult Right to Choose (R2C) ADHD Team. They will be expected to work flexibly within the ADHD servicesadministrative team and contribute to and (in time) lead on the smoothfunctioning of the systems underpinning service delivery.

The postholder will berequired to work in a busy and demanding environment and should be able to workwithout direct supervision and exercise initiative. An ability to multi-task isessential.

The postholder needs tobe experienced with TPP SystmOne.

Main duties of the job

The post-holder must playa proactive role receiving, managing, and recording patient demographic andtreatment data. The post-holder must undertake effective forward planning, toensure that the administrative needs of the service are met and must carry outa range of effective administration processes to support the delivery of highquality patient care.

Arrange, book andmanage patient follow-up appointments

Analyse patientpathways vs outcomes and escalate to relevant clinical / non-clinicalstaff

Ensure all patientinformation is complete and up to date on the clinical system, proactivelyasking patients for information where this is missing or incorrect

Identify,investigate and correct system discrepancies ensuring GP and personalcontact details are accurate and up to date

Follow theappropriate processes for prescription requests, expedite requests, andclinical letters received into the service

Use your written, verbal communication and interpersonal skills to interact withpatients, their carers, relatives, visitors and staff

Be a calm,supportive, flexible and adaptable member of the team

Deal with allenquiries in a professional , respectful and co-operative manner

Redirect queries tothe appropriate person, using existing and available information and yourown initiative

Providenon-clinical advice and guidance in line with service policy, with thesupport of managerial and clinical staff

We provide a large number of ARRs staff to the GPPractices, including paramedics, FCPs, clinical pharmacists and pharmacytechnicians. We have a strong workingrelationship with the Clinical Directors and PCN Management team to supporttheir needs. We are committed totraining and development of our staff on a personal professional andorganisational level.

We are also provide a growing and progressive Adult ADHDService based entirely within primary care. We are a remote service who servesthe Warrington population and recently Cheshire & Merseyside and Hereford& Worcester patients via Right to Choose options.

Job responsibilities

To provide comprehensive, professional, andconfidential administrative support in the delivery of the Adult R2C ADHDservice.

Take the lead in being responsible for, andprocess, incoming calls and referrals to the Adult R2C ADHD team.

To action and manage all related correspondencereceived into the office, managing emails appropriately.

To take and promptly pass on accurate notes andinformation, exercising independent judgement and discretion when handling,monitoring and filtering information within data protection, customer care andconfidentiality guidelines.

To co-ordinate and oversee bookings on clinicalsystems reporting any problems as appropriate.

To prioritise duties, ensuring that alldeadlines are met.

To deal with a range of queries from patients,General Practice and other agencies in a polite and helpful manner, seekingadvice and guidance from the Service Manager and wider team as and whenrequired.

To type correspondence including letters andreports when required.

To maintain office filing systems and ensureinformation is accessible to relevant staff, ensuring confidentiality at alltimes.

To have excellent verbal, written andcommunication skills.

To have the ability to remain calm andempathetic in sometimes difficult and stressful situations.

Complete statutory training/updating andmandatory training as defined by Quay Healthcare CIC.

Complete additional skills-specific trainingwhen required.

Participate in an annual individual performancereview, maintaining a record of own personal and professional development.

Take responsibility for your own development,learning and performance, and identify gaps in knowledge and skills.

Participate in clinical supervision as perindividual requirement.
