Description
McBains is seeking an Accounts Payable Finance Assistant to join our London team due to ongoing growth. The AP Finance Assistant will support the finance team with accounts payable, credit control, billing, and reporting tasks. This role is suitable for a junior finance professional interested in Accounts Payable, providing vital support across financial functions including supplier compliance, expense management, and monthly reporting.
Key Responsibilities
Accounts Payable & Supplier Management
- Process and post AP invoices in Unit4, ensuring correct coding and authorization.
- Manage the Accounts Payable inbox, ensuring timely processing of invoices and queries.
- Maintain the supplier ledger and act as the primary contact for supplier queries.
- Assist with onboarding new suppliers, verifying bank details and compliance.
- Prepare and circulate the bi-monthly supplier payment run for approval.
- Support purchase order administration in Unit4.
Credit Control & Billing
- Assist in running aged debt reports with the Credit Controller.
- Help distribute customer statements and process credit notes.
- Handle customer invoice queries and support sales invoice distribution.
- Set up new projects in Unit4.
Staff Expenses & Credit Card Management
- Prepare staff expense payments with proper documentation.
- Administer credit cards, ensuring timely statement reconciliation.
- Review monthly fuel card expenses and escalate concerns.
Reporting & Month-End Processes
- Assist in generating monthly reports on sales, aged debt, and project profitability.
- Distribute reports as required.
Audit & Compliance
- Support audit preparations by compiling documents and responding to requests.
Skills, Knowledge and Expertise
- Experience as a finance assistant or in accounts payable.
- Understanding of accounts payable, billing, and credit control processes.
- Proficiency in financial systems, preferably Unit4.
- Attention to detail and ability to handle multiple priorities.
- Excellent communication and stakeholder management skills.
- Intermediate to advanced Excel skills.
- Experience in Construction or Consultancy industries is advantageous.
