Job Title: Accounts Payable and Landed Costs Assistant

The role:
The Accounts Payable and Landed Costs Assistant plays a vital role in our company’s financial and logistics operations. Ensuring the management of outgoing payments to our suppliers, calculating the landed costs for new parts, and processing customs invoices for shipments, you will impact the efficiency of our processes and the profitability of our business.
Key Responsibilities:
This role consists of three distinct parts:
- Accounts Payable (65%)
- Reconciliation: Reconcile purchase orders, receipts, and invoices to ensure consistency and accuracy.
- Supplier Account Management: Maintain supplier accounts and resolve discrepancies or issues.
- New Supplier Onboarding: Manage onboarding processes, including credit checks and bank detail verification.
- Supplier Statement Reconciliation: Oversee reconciliation of supplier statements.
- Query Resolution: Resolve supplier-related accounts payable issues.
- Invoice Processing: Manage and process supplier invoices accurately and efficiently.
- Payment Runs: Prepare and execute payment runs timely and in accordance with terms.
- Landed Costs (30%)
- Inventory Maintenance: Create, fix, and review part numbers on ePIM, collaborating with Product Managers for UK and R0W systems.
- Query Resolution: Address process maintenance and data creation queries related to parts inventory.
- Costing: Calculate landed costs for parts and coordinate with Product Management and Logistics for accurate pricing.
- Administration: Maintain the supplier master list.
- Customer Invoicing (5%)
- Review margins on stock invoices before posting.
- Work with end parties to resolve discrepancies.
- Review miscellaneous invoices and credit notes prior to posting.
Required Skills:
- Proven experience in accounts payable and/or customs administration, supported by relevant educational qualifications.
- Strong understanding of accounting principles.
- Proficiency in accounting software (Epicor, SAP, Sage, Xero) and Excel.
- Excellent attention to detail and organizational skills.
- Effective communication skills for liaising with suppliers and teams.
- Ability to work under pressure and meet deadlines.
- Proactive problem-solving approach.
