NABA London is launching its first international campus in East London, and we are seeking an Academic Services and Student Life Specialist to coordinate teaching activities, support the Head of Education and Teaching Faculty, and ensure smooth student experiences. The role involves student life, wellbeing, and space management within a dynamic startup environment.

Qualifications

  • Bachelor’s degree or equivalent qualification.
  • Experience in administrative, student services, customer service, or higher education environment is desirable; early-career candidates with strong potential will also be considered.
  • Familiarity with academic management systems (e.g., student management software) and administrative practices in educational contexts (particularly in the UK or higher education sector).
  • Experience in managing timetables, planning, and coordinating academic events and activities.

Responsibilities

  • Supervise the correct management of academic activities for students during their studies.
  • Provide information about timetable and any Academy activity or administrative deadline involving them; manage email notice communication with students.
  • Assure the student welcome and induction days organization.
  • Prepare/update annually welcome vademecum (on term basis) and the service guide.
  • Facilitate tutors and Course Leaders, by managing various organizational aspects which can daily arise in the lessons’ / academic activities’ and ensure compliance with company guidelines.
  • Might be nominated as member of the Course Panels with active role in it.
  • Support the definition of Academic Calendars and supervise elaboration of courses and workshops timetables.
  • Manage all information on the Student information System and Timetable System; support the collection of tutors, translators and guest lecturers information to HR for contractual needs.
  • Manage the rescheduling of planned activities and booking of spaces for non-academic activities.
  • Monitor and forecast spaces’ occupancy when requested.
  • Oversee the promotion of student social integration and engagement in extracurricular activities within the campus and UK culture.
  • Facilitate special deals agreements with external providers for students, tutors and staff.
  • Signpost and help students for Wellbeing Services and liaise with Course Leaders for SEN students.
  • Act as the primary point of contact for Student Representatives and support Graduation events.

NABA London is the first international campus of Nuova Accademia di Belle Arti, opening in East London in October 2026. Combining Italian design heritage with London’s creative industries, NABA London will offer an international, studio‑based learning environment for students across art, design, fashion, and creative disciplines. Located at Here East in the Queen Elizabeth Olympic Park, the new campus represents an exciting opportunity to join a growing institution at launch stage and contribute to shaping the student experience from day one. Programmes delivered at NABA London are validated by Regent's University London.

Academic Services and Student Life Specialist

The successful candidate will be based in London and will report directly to the Communication and Student Services Manager. The Academic Services and Student Life Specialist is responsible for coordinating the delivery of teaching and academic activities and contributing to the efficient use of campus spaces. The role provides comprehensive operational support to the Head of Education and Teaching Faculty, ensuring the timely preparation of course and workshop schedules and that all activities are effectively organised for students and tutors. The postholder oversees activities and services related to Student Life and Student Wellbeing and ensures the distribution of student satisfaction surveys. Working closely with the Academic Registration & Student Support Specialist, the role shares day‑to‑day responsibilities to ensure continuity of operations and services. The position also supports reception activities and the management of incoming calls.

The selected candidate will carry out the following activities:
Student Support
  • Supervise the correct management of academic activities for students during their studies

  • Support the definition of Academic Calendars
  • Supervise the elaboration of courses and workshops timetables, collecting the needs of Course Leaders for all didactic activities in accordance with Academic Calendar and Plan of Study
  • Manage all the information on the available Student information System and Timetable System Support the collection of tutors, translators and guest lecturers information to HR for contractual needs.
  • Manage the rescheduling of the planned activites.
  • Guarantee the booking of spaces for all the non‑academic activities requested by all the offices
  • Monitor and forecast spaces’ occupancy when requested
Student Life & Wellbeing

  • Also supports the organization of the Graduation event
Students Surveys
  • Ensure activities of distributing surveys and collect student feedback

Requirements
Education & Experience
  • Bachelor’s degree or equivalent qualification.
  • Previous experience in an administrative, student services, customer service, or higher education environment is desirable; early‑career candidates with strong potential will also be considered.
  • Familiarity with academic management systems (e.g., student management software) and administrative practices in educational contexts (particularly in the UK or higher education sector).
  • Experience in managing timetables, planning, and coordinating academic events and activities.

Technical And Organizational Skills
  • Strong planning and organizational skills, with the ability to effectively manage timetables and academic resources, ensuring all activities are scheduled on time and without conflicts.
  • Excellent understanding of academic processes in an international context, particularly timetabling, student records management, and faculty support.
  • Experience in organizing and managing institutional events, including student welcome events, graduation ceremonies, and industry engagement activities.
  • Knowledge of UK academic regulations related to attendance monitoring, student records management, and student retention.
  • Good working knowledge of Microsoft Excel.
Language Skills
  • Fluency in English (C1/C2 level) both written and spoken, as the position is based in London and involves communication with an international audience.
  • Additional language skills are a plus
Terms of Employment
  • Salary Range: £29,000–£31,000, depending on experience
  • Contract: Full‑time, fixed‑term contract (12 months)
  • Start date: 1 September 2026
  • Working pattern: Onsite
  • Working hours: Typically Monday to Friday, with flexible working hours (e.g. 9:00–17:00 or 10:00–18:00). Occasional adjustments to working hours may be required to support student events and other institutional activities.
  • Starting Date: The successful candidate will join on 1 September to participate in the induction programme and support planning activities ahead of the start of the academic year.
