Main duties of the job

This role involves data inputting of patient information, telephone contact with patients and the clinical staff, processing letters, sending and responding to emails and providing a high level of general administration support for All-Age Continuing Care.

In this role, you will be integral to our team by handling data entry of patient information, managing telephone communications with patients and clinical staff, taking minutes during meetings, generating, and mailing letters and sending and responding to emails. You'll also provide high-level general administrative support for All-Age Continuing Care and the broader team as needed.

Detailed job description and main responsibilities
  • Act as a point of contact for the department, dealing with routine and specialist enquiries in a pleasant and helpful manner, communicating relevant information to stakeholders, referring to others as appropriate
  • Inputting and maintaining data on data systems, together with the associated correspondence
  • To arrange/schedule assessments and reviews for Nurse Assessors, including contacting individuals and family members/representatives and other relevant professionals, as required
  • To support administrative function in the setting up of care packages, as required
  • Responsible for organising meetings for the department, minute taking, calendar management and planning any administrative work as required
  • Deal with invoice queries in an efficient and timely manner, as required
  • Adhere at all times to the service guidance, and work within established policies, procedures, protocols and systems ensuring quality standards and performance as directed
  • Answer telephone calls, taking messages and passing on accurately to the relevant department/person
  • To deal with all outgoing and incoming mail. Responsible for sorting all out-going mail to ensure that IG standards are adhered to
  • Resolving complaints if possible and escalate when required. Ensure that complaints are dealt with appropriately, and in accordance with policy
  • Word processing and processing documents (scanning/photocopying) when required
  • Demonstrate office systems and departmental processes to new starters
  • Able to work on own initiative and unsupervised, within defined policies and procedures to set timescales
  • Willing to engage with and learn from peers, other professionals and colleagues to constantly improve quality of work
Person specification
Qualifications
  • Educated to NVQ 3 level in a relevant subject or equivalent level of qualification or significant equivalent previous proven experience
  • Evidence of ongoing CPD / learning
  • Demonstrable experience of working in a busy administrative environment
  • Experience working with computerised data systems
  • Excellent working knowledge of Microsoft Office
  • Awareness of equality and valuing diversity principles Understanding of Confidentiality and Data Protection Act
  • Experience dealing with customers or service users
  • Ability to work effectively as part of a team
  • Able to work on own initiative, organising and prioritising own workload to set deadlines
