Case Administrators play a vital support role in probation teams, helping to keep the public safe. They give people the chance to turn their lives around and build a rewarding professional career.

Overview of the job

This is an administrative role within the Probation Service.

Summary

The job holder will provide administrative support within the Probation Service, ensuring staff and individuals on probation are supported through efficient processes. They will maintain administration systems within specified timescales to promote team and divisional objectives. The role requires a commitment to equality and inclusion, with an understanding of their importance in the work.

This position may involve some out-of-hours work and requires adherence to policies regarding the sensitive and confidential nature of the information handled.

Responsibilities, Activities & Duties
  • Set up and maintain accurate records of people on probation and victim information on relevant databases.
  • Administer referrals and manage relationships between offender management, victims, interventions, service providers, and external agencies to promote positive outcomes, manage risks, and reduce reoffending.
  • Prepare, maintain, and collate case records, files, and management information according to standards.
  • Handle communications via telephone, paper, and email appropriately.
  • Provide cover for reception and telephone enquiry services.
  • Act as a point of contact within the unit for specific areas of work.
  • Interact fairly, effectively, and firmly with individuals on probation, including those in crisis or displaying aggressive behaviour, seeking support as needed.
  • Arrange appointments and directions for implementing Sentence Plans.
  • Carry out enforcement administration as required.
  • Manage petty cash, vouchers, and travel warrants, maintaining records per financial procedures.
  • Organise equipment, materials, and facilities for case management activities.
  • Report faulty equipment and arrange repairs or replacements.
  • Maintain systems for resource management and suggest improvements.
  • Perform Visor administration tasks following procedures.
  • Attend and support meetings, including organizing agendas, notes, and action points.
  • Conduct activities in accordance with Health and Safety policies, including equipment testing.
  • Provide cover within the unit and other units as appropriate.
  • Carry out safeguarding duties in line with statutory responsibilities and policies.
  • Model pro-social behaviour, challenge anti-social attitudes, and promote positive behaviour.
  • Work within the aims and values of PS and HMPPS.
