Overview of the job

This is an administrative role within an establishment.

Summary

The job holder will provide administrative support within the Offender Management administrative hub, maintaining administration systems and servicing the local courts within specified timescales for the establishment.

This is a rotational, non-operational role with no line management responsibilities.

Responsibilities, Activities and Duties

The job holder will be required to carry out the following responsibilities, activities, and duties:

  1. Undertake transactional activities related to the Offender Management function, including processing paperwork such as:
  • Discharge Report / Pre-Discharge Report
  • Bail applications
  • Release on Temporary License (ROTL)
  • Home Detention Curfew (HDC)
  • Offender Assessment and Sentence Management (OaSys)
  • Multi-Agency Public Protection Arrangements (MAPPA)
  • Re-categorisation
  • Sentence calculations, including initial checks
  • Appeals
  • Violent Sex Offender Register (VISOR)
  • Multi-Agency Risk Assessment Planning (MARAP)
  • Adjudications
  • Indeterminate Sentence Prisoners
  • Parole applications
  • Legal Correspondence
  • License Applications
  • Resettlement overnight Release
  • Prisoner Fines
  • Foreign Nationals/Deportation/Immigration
  • Risk to Children/Safeguarding Children
  • Harassment/Restraining Orders
  • Category A administration
  • Recall paperwork
  • Public Protection
  • Perform other administrative tasks including:
    • Organising, producing, and maintaining accurate records
    • Acting as contact point for all communications to the team
    • Prioritising and distributing communications
    • Completing monitoring returns
    • Inputting requisitions into the finance database
    • Co-ordinating awareness sessions
    • Preparing paperwork for checking and conducting sentence calculations
    • Corresponding with stakeholders and agencies
    • Maintaining databases, filing systems, and logs
    • Collating information related to Service Delivery Indicators (SDIs)
    • Acting as secretary for meetings, organising agendas, and taking minutes

    The duties listed are current but not exhaustive. The job holder is expected to accept reasonable changes and additional tasks of a similar level. Significant adjustments may require re-evaluation and will be discussed initially with the job holder.

    An ability to communicate confidently in spoken English, or Welsh where specified in Wales, is required.
