Overview of the job

This is an administrative role within the Probation Service, focusing on providing essential support to staff and individuals on probation through efficient processes and maintaining administration systems.

Responsibilities, Activities & Duties
  • Set up and maintain accurate records of people on probation and victim information on relevant databases.
  • Administer referrals and manage relationships between offender management, victims, interventions, service providers, and external agencies to enhance outcomes and reduce reoffending.
  • Prepare, maintain, and collate case records, files, and management information according to standards.
  • Handle communications via telephone, email, and paper, and provide reception cover.
  • Act as a point of contact within the unit for specific areas of work.
  • Deal effectively and fairly with individuals on probation, including those in crisis or displaying challenging behaviour, seeking support as necessary.
  • Arrange appointments and directions for Sentence Plan implementation.
  • Perform enforcement administration and manage petty cash, vouchers, and travel warrants.
  • Organise equipment and facilities for case management activities.
  • Report faulty equipment and arrange repairs or replacements.
  • Maintain systems for resource management and suggest improvements.
  • Undertake Visor administration tasks as per procedures.
  • Attend and support meetings, including organizing agendas and taking minutes.
  • Ensure activities comply with Health and Safety policies and undertake equipment tests.
  • Provide cover within the unit and other divisions as needed.
  • Carry out safeguarding duties in line with statutory responsibilities and policies.
  • Model pro-social behaviour, challenge anti-social attitudes, and promote positive behaviours.
  • Work in accordance with the aims and values of PS and HMPPS.
