Job purpose

Reporting to the Head of Contracts Management, the Contracts Coordinator will be responsible for the day-to-day tasks associated with the management of our 3PL service partners. Ensuring all contractual obligations and standards are met concerning the provision of third-party logistics (3PL) services within the global organisation. You will play a key role in optimizing our supply chain network and design, ensuring the smooth operational flow of both goods and services.

Key responsibilities
  1. Serve as the primary point of contact for all contract-related matters and inquiries, responding promptly and courteously, striving to exceed stakeholder expectations.
  2. Lead routine meetings with 3PL service partners, setting agendas, documenting minutes, and distributing actions to appropriate stakeholders.
  3. Reconcile weekly invoicing to ensure both purchase and sales of third-party services are in accordance with the contractual rates.
  4. Monitor and evaluate contract performance, ensuring compliance with agreed service levels, key performance indicators, and contractual obligations.
  5. Maintain accurate and up-to-date contract documentation, ensuring proper record-keeping and adherence to internal policies and procedures, managing stakeholders to meet deadlines or anniversaries.
  6. Support cross-functional teams with reporting progress of process improvements and cost-saving initiatives, monitoring effectiveness.
  7. Assist in documenting Supply Chain initiatives and the associated business cases, ensuring proposals can be submitted for internal approval in a timely fashion.
  8. Conduct regular cross-functional reviews and audits to identify potential risks, issues, or non-compliance, and assist with the development of appropriate mitigation strategies.
  9. Collaborate with cross-functional teams, including supply chain, procurement, technical, and legal, to understand the operational needs for new contracts.
  10. Stay updated on industry trends, regulations, and best practices related to 3PL contracts, and apply this knowledge to support contract management processes.
  11. Undertake any further duties which may from time to time be assigned.

Skills & Qualifications
  • Background in Account Management and Customer Service.
  • Experience of Project or Change Management, desirable.
  • Exposure to Third-Party Logistics, Supply Chain Operations, or International Trade, desirable.
  • Experience of FMCG, desirable.
  • Excellent verbal and written communication skills.
  • Ability to prioritise workload, multitask, and work to deadlines effectively.
  • Ability to work on own initiative and collaborate with multiple stakeholders.
  • Flexible to take on extra and varied tasks when required.
