Job description

We are urgently seeking your administration experience for an upcoming AO3 Administration Officer role supporting purchasing functions with a Qld Government Department. We have two roles available to start asap, anticipated for an initial period until 04/07/2025, however, one of these roles has a likelihood of extension to 19/12/2025 based on current forecasted business needs.

This is an in-office role, however, there is some flexibility to base the role from either Southbank, Bracken Ridge, Mt Gravatt or Ipswich offices to reduce commute time for the successful candidate.

Duties will focus on providing administration support relating to purchasing, receipting and travel, including:

  • Ensuring that goods and services are purchased as efficiently and cost effectively as possible in accordance with policies, procedures and templates.
  • Reviewing, verification and receipting of invoices ensuring compliance with purchasing policies and procedures.
  • Gathering invoices/documentation to support the monthly reconciliation of corporate AMEX cards.
  • Work with Team Leader to prepare reports relating to areas of responsibility (such as travel, purchasing and/or receipting).
  • Provide general administrative support as required.

To be considered for this temporary assignment, you should demonstrate:

  • Previous administration experience in an aligned role (ideally this will include experience with purchasing tasks such as raising purchase orders).
  • Intermediate skills in MS Word, MS Excel and MS Outlook with confidence learning and using new computer systems (ideally you will also demonstrate some experience processing data using finance systems).
  • Fast and accurate keyboarding skills.
  • Demonstrated ability to work as part of a team, including reliability in organising individual workload to meet deadlines, commitments and client service standards.
  • Well-developed communication and interpersonal skills including ability to effectively liaise, consult and negotiate with a diverse range of clients and work both independently and within a team.
  • Availability to start within next 1-2 weeks, working Monday to Friday.
