Your role

Are you detail-oriented multitasker? Do you know how to make sure things run smoothly? We are looking for an executive/team assistant to support a team of bankers ranging from MDs and EDs through to junior bankers. There is quite a heavy emphasis on calendar management, including setting up meeting with client offices. You will be working alongside 3 other assistants who look after the rest of the team.

Duties include but are not limited to:

  • Several years' experience gained working within corporate finance at an investment bank
  • Diary management - co-ordinating, gate keeping, ensuring that schedules are adhered to whilst taking account of conflicting priorities and multiple demands on time
  • Arrange meetings, both internal and external (including conference calls and video conferences), taking account of complex diaries and time-zone differences
  • Build relationships with clients (internal and external) and their assistants
  • Assist in the preparation for various meetings
  • Ensure appropriate travel arrangements are made, including necessary visas (operating within UBS Travel Policy. Some out of hours’ assistance required for booking / re-arranging travel / cars
  • Process expenses and reimbursement through Concur
  • Liaise with numerous management offices and key departments across the Bank
  • Assist with any IT issues in a timely manner
  • Database administration (e.g. updating Banker Portal database)
  • Updating of team distribution lists.
  • Cover telephones, taking messages when needed
  • Other ad hoc tasks
Your team

You will work in Paris. The role (temp-6 months) requires a committed individual with solid organisational skills, who can multi-task and work well under pressure in a demanding environment. It is critical that the individual can form strong working relationships, particularly with peers, to provide seamless coverage to an extremely high standard. The individual must also maintain professionalism and be able to deal sensitively with work of a confidential nature.
