A leading Refinery company is looking for a Contract Administrator in Mormant, France. The role involves managing construction contracts, negotiating terms, and ensuring compliance with contractual obligations. Ideal candidates should have an engineering degree and over 5 years of experience in contract administration, with fluency in both French and English. This position offers an opportunity to work on significant projects while ensuring smooth administrative processes.

Responsabilités

  • Prepare and issue kick-off Minutes of Meeting (MoM) with Construction Contractors.
  • Manage administration of Construction Contracts and correspondence.
  • Analyze documents for contractual validity in Variation Requests/Proposals.
  • Negotiate requests for compensation and prepare claims defense strategies.
  • Prepare amendments/Variations to Contracts for approval.
  • Update Variations Log weekly for all Construction Contractors.
  • Prepare Notices of Default for misperformance by Contractors.
  • Review pro-forma invoices and coordinate with accounting.
  • Handle administrative closure of Construction Contracts upon acceptance.
  • Store Contract administration documents in project SharePoint.

Activities
  • Preparation and issuance of kick-off Minutes of Meeting (MoM) with Construction Contractors
  • Manage the administration of the Construction Contracts, supervise the filing of the various Construction Contracts correspondence, prepare answers to any Construction Contractor's correspondence as requested by Contract Manager / Project Manager
  • Analyze and check the contractual validity of all the justifying documents provided by the Constructions Contractors with their Variation Requests/Variation Proposals, for any extra works or claims
  • Negotiate Construction Contractors 'requests for compensation of extra costs presumably suffered by Construction Contractors, prepare claims defense strategies & related documents and settle the claims
  • Prepare the amendments/Variations to the Construction Contracts for Contract Manager / Project Manager's approval
  • Preparation and update on a weekly basis of the Variations Log for all Construction Contractors
  • Prepare any Notices of Default (Letters) for misperformance or non-performance of the works by Construction Contractors for approval by Contract Manager / Project Manager
  • Notify the Construction Contractors of the application of the Liquidated Damages (LDs), when instructed by the project management
  • Review the pro-forma invoices and allow their formal issuance to COMPANY accounting department when the Construction Contractors have successfully achieved their contractual payment milestones
  • Preparation and update on a weekly basis of the invoices Log for all Construction Contractors
  • Prepare MoMs for the various meetings under the scope of responsibilities of Contract Administrator and attend other project execution meetings
  • Administrative and financial closure of the Construction Contracts when the Provisional Acceptance of the works is achieved
  • Store the Contract administration documents in the specific and dedicated area of the project sharepoint
Qualifications & Experience Required

Preferably engineering degree + extensive experience in contract administration (more than 5 years)

Fluent in French and English (verbally and in writing)
