Qualifications

We are looking for an Administrative Secretary (H/F) to support daily operations and ensure smooth coordination across internal and external stakeholders. This role is ideal for someone organised, service-oriented, and comfortable managing a variety of administrative tasks in a fast-paced environment.

Responsibilities
  • Manage visitor reception, external contractors, delivery personnel, and handle standard telephone switchboard duties.
  • Prepare and format reports, technical documents, and study files in line with internal quality procedures.
  • Enter purchase orders and laboratory requests into internal systems (equipment, chemicals, consumables), monitor validation, and ensure proper follow-up and dispatch.
  • Handle shipments: prepare administrative/technical documentation, coordinate courier collection, and track deliveries.
  • Schedule appointments with regulatory bodies and external partners for inspections, working closely with maintenance and safety teams.
  • Manage office supplies, stationery stock, and small office equipment.
Requirements
  • BTS or equivalent diploma.
  • Several years of experience in an administrative support role is ideal; motivated juniors also considered.
  • Strong communication skills and ability to collaborate with multiple internal and external stakeholders.
  • Excellent organisational skills, attention to detail, and ability to handle multiple tasks simultaneously.
  • Native or near-native level of French (C1/C2) and proficiency in professional English (B2).
  • Ability to integrate easily into a team and work with autonomy, rigor, and reliability.
