A mid-sized pharmaceutical company in Paris is seeking an experienced Administrative Assistant to support their office operations. The ideal candidate will manage day-to-day administrative tasks, ensure smooth office operations, and facilitate collaboration across various departments. Qualifications include 3-5 years of administrative experience, strong organizational and multitasking skills, and proficiency in both French and English. This role offers a temporary 6-month contract supporting parental leave, with on-site work required 4 out of 5 days a week.

Qualifications

  • 3-5 years of experience in administrative support, preferably within the pharmaceutical or healthcare industry.
  • Familiarity with compliance, regulatory documentation, and budget coordination.
  • Excellent communication skills in both French and English; Other European Languages are a plus.

Responsabilités

  • Manage day-to-day administrative tasks including reception duties and office supply inventory.
  • Oversee facility needs and maintain compliance with health and safety protocols.
  • Facilitate collaboration across various departments including Commercial, Medical, and Regulatory.
  • Plan and execute meetings and events, managing calendars and travel logistics.
  • Represent senior leadership in communications with external stakeholders.
  • Partner with regulatory colleagues to uphold internal policies and meet requirements.
  • Assist international guests visiting the Paris office, ensuring a smooth experience.
  • Maintain and regularly update procedural and compliance documentation.

  • Contract : Temporary, 6 Month Contract (Parental Leave)

Key Responsibilities
  • Manage day-to-day administrative tasks such as reception duties, office supply inventory, and courier coordination.
  • Ensure the office operates efficiently by overseeing facility needs and maintaining compliance with health and safety protocols.
  • Act as the central coordination point for activities in France, facilitating collaboration across various departments including Commercial, Medical, and Regulatory.
  • Plan and execute meetings and events, managing calendars, travel logistics, and venue arrangements.
  • Represent senior leadership in communications with external stakeholders, including healthcare providers, partners, and professional organizations.
  • Partner with regulatory colleagues to uphold internal policies and meet external legal and industry requirements.
  • Assist international guests visiting the Paris office, providing logistical support and ensuring a smooth experience.
  • Maintain and regularly update procedural and compliance documentation, including standard operating procedures and training materials.
Requirements
  • 3-5 years of experience in administrative support, preferably within the pharmaceutical or healthcare industry.
  • Strong organizational and multitasking skills with attention to detail.
  • Familiarity with compliance, regulatory documentation, and budget coordination.
  • Excellent communication skills in both French and English; Other European Languages are a plus.
  • Proficiency in Microsoft Office and document management systems (e.g., SharePoint).
