Job summary

CUJO AI is seeking a Manager, Workplace Experience to lead how our people experience the company—physically, digitally, and everywhere in between. This hands-on leadership role focuses on environment, satisfaction, productivity, and engagement from offices to remote settings.

The role is full-time, hybrid and based in Finland, Norway, Lithuania or Hungary with regular travel. You will own internal communications, events, policy, risk, and cross-functional collaboration to improve the employee

About the Role

We’re looking for a Manager, Workplace Experience to lead how our people experience our company — physically, digitally, and everywhere in between. You’ll be responsible for creating and maintaining an environment that promotes employee satisfaction, productivity and engagement.

This is a hands‑on leadership role for someone who thinks like an operator, communicates like a storyteller, and is never quite satisfied with “good enough.”

As we grow, how we communicate, where we work, and how we take care of people becomes a real competitive advantage. This role sits at the center of that, with the mandate and trust to shape it.

This is a full‑time hybrid position based in Finland, Norway, Lithuania or Hungary, with regular travel expected.

In This Role, You Will Own:

Team & Global Workplace Leadership

• Lead, coach, and develop our global Office Coordinators team, setting a shared standard for workplace experience while leaving room for local context.
• Continuously assess whether our office footprint fits a growing, distributed company, and propose changes when it doesn’t.

Physical & Digital Workplace

• Own the end‑to‑end office experience and facilities management: leases, layout, supplies, vendors, and day‑to‑day operations.
• Own our intranet and digital workplace across shared platforms, making sure tools and content are built for purpose and genuinely used.
• Identify and implement AI‑driven solutions that improve the day‑to‑day experience of our people and our processes, removing unnecessary complexity along the way.

Internal Communications

• Own internal communications planning and execution: intranet content, company clock, all‑hands, and company‑wide announcements.
• Partner with Marketing, People and Leadership so messages land clearly and consistently across all locations.

Employee Engagement & Events

• Own our annual company off‑site end‑to‑end with your team: agenda, content, and format, plus travel, venue, accommodation, and catering for people from multiple countries, managing budget, vendors, and timelines.
• Plan how to bring people together across remote, global, and multicultural settings and build a sense of belonging.
• Own our gift policy and coordinate employee events together with the team.

Policy & Risk

• Own and continuously improve our global travel policy.
• Own relevant insurance programs across our locations, in partnership with People, Legal, and Finance.
• Own health & safety standards and workplace compliance across offices and, where relevant, for remote and employer‑of‑record (EOR) employees.

Cross‑Functional Collaboration & Continuous Improvement

• Help build a consistent global onboarding and offboarding experience, with welcome rituals and touchpoints that respect local requirements and improve with feedback.
• Join cross‑functional projects, bringing an outside‑in view by benchmarking against other fast‑growing tech companies, with the chance to lead company‑wide initiatives.

Requirements:

What We’re Looking For:

• Proven track record in employee experience or office/workplace management, ideally in a fast‑paced, high‑growth tech environment, with a people‑first mindset.
• Familiarity with Health and Safety protocols and workplace compliance.
• Experience managing distributed or remote teams.
• Comfort working across multiple countries and legal and cultural contexts, including EOR employment models.
• Strong project management skills, balancing strategic ownership (like policy design) with hands‑on execution (like the annual off‑site logistics).
• Practical experience building or implementing AI‑driven processes to solve real problems, and comfort with modern digital tools.
• A builder’s mindset: you see “how we’ve always done it” as a starting point, not an answer.
• Willingness to travel periodically to offices and for the annual company off‑site.
• Excellent written and verbal communication skills in English; a natural storyteller for internal comms.

What Will Make You Stand Out:

• Experience with lease agreements, corporate insurance, or health & safety programs.
• Experience scaling a distributed international footprint.
• Familiarity with Nordic, Baltic, or Central European employment and workplace norms.

The compensation package is from €4,000 per month to €6,000 per month (gross), depending on your experience. We are focused on finding the right person for this role and are open to discussing salary expectations based on your skills, competencies, and experience.
