Job summary

V7 Recruitment is seeking an organised Contractor Coordinator to support day-to-day administration and mobilisation of the contractor workforce on a major data centre project in Helsinki. You will be the main admin contact for on-site contractors, maintaining workforce records, timesheets, accommodation and transport.

Responsibilities include onboarding, attendance tracking, documentation control, and regular workforce updates to management.

Qualifications

Experience in administration, project administration, site administration, compliance or contractor coordination.
Strong Microsoft Office and Excel skills.
Good written and spoken English.
EU passport and/or existing right to work in Finland is required/preferred.

Responsibilities

Maintain accurate records of contractors working on site on a daily basis.
Track starters, leavers, transfers and absences.
Manage daily attendance and weekly timesheets.
Follow up on missing or incorrect timesheets and approvals.
Maintain contractor documentation and site-readiness records.
Coordinate contractor arrivals, onboarding and mobilisation.
Manage accommodation records, check-ins, check-outs and room allocations.
Coordinate transport between accommodation and the project site.
Act as day-to-day administrative contact for contractors.
Maintain accurate Excel trackers and provide regular workforce updates to management.
Communicate with supervisors, contractors and the wider project team.
Support general HR and workforce administration throughout the project lifecycle.
