This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Sr Coordinator, Meeting Coordination based in United States.

This role supports the coordination and execution of Institutional Review Board (IRB) meetings within a highly regulated clinical research environment.

You will manage submission workflows, coordinate Board reviewers, and ensure meetings are prepared and conducted in accordance with human-subject protection requirements.

The position combines regulatory expertise, document review, stakeholder communication, and hands-on meeting facilitation.

You will work closely with client services, IRB Chairs, Board members, and other stakeholders to resolve complex issues and maintain review quality.

A key focus will be ensuring informed consent documentation is accurate, compliant, and aligned with applicable regulations and client requirements.

The role also offers opportunities to improve review processes, mentor colleagues, and stay current with evolving research regulations.

This is a fully remote opportunity suited to an experienced IRB professional who is detail-oriented, collaborative, and confident working in a compliance-driven setting.

Accountabilities
  • Manage the end-to-end IRB meeting workflow, including reviewing incoming submissions, assigning reviews to Board members, coordinating meeting platforms, and preparing required documentation.
  • Facilitate communication among client services teams, IRB Chairs, Board reviewers, and clients to ensure timely and effective review processes.
  • Prepare meeting and post-meeting informed consent forms that accurately reflect Board concerns, required edits, negotiated language, and applicable regulatory standards.
  • Conduct thorough pre-reviews and quality-control checks of consent forms to ensure compliance with human-subject protection requirements and established operational guidelines.
  • Prepare proposed meeting determinations for Chair review and provide regulatory and operational support before and during IRB meetings.
  • Host IRB meetings using designated web platforms and provide real-time assistance to Chairs and Board members.
  • Identify, analyze, and resolve complex issues arising during meetings, including matters requiring additional attention from the IRB or Chair.
  • Ask appropriate clarifying questions and constructively challenge opinions or questions when needed to support sound regulatory review.
  • Collaborate with client services and other stakeholders when special issues need to be escalated or presented to the IRB.
  • Analyze current IRB review methods and recommend improvements that enhance quality, efficiency, and consistency.
  • Maintain current knowledge of U.S. and Canadian regulations and guidelines related to human-subject research protection.
  • Complete required human-subject research and organizational training, maintain professional development requirements, and participate in relevant conferences, webinars, and workshops.
  • Manage weekly IRB meetings and additional Board meetings as requested, while providing mentorship and guidance to newer team members when needed.
Requirements
  • Bachelor's degree combined with at least 2 years of IRB experience, or an equivalent combination of education and relevant professional experience.
  • Certified IRB Professional (CIP) certification, or the ability to obtain CIP certification within one year of becoming eligible.
  • Advanced knowledge of federal laws, regulations, and guidelines governing human-subject research protection is strongly preferred.
  • Demonstrated experience coordinating IRB activities, reviewing research submissions, and supporting regulatory-compliant decision-making.
  • Strong ability to interpret complex information, identify compliance concerns, and resolve issues with sound judgment.
  • Excellent written and verbal communication skills, including the ability to communicate effectively with clients, Chairs, Board members, and internal stakeholders.
  • Strong attention to detail, organization, prioritization, and follow-through in a deadline-driven environment.
  • Proficiency with Microsoft Word and Outlook.
  • Ability to manage multiple meetings, submissions, documents, and stakeholder needs while maintaining accuracy and confidentiality.
  • Comfortable working independently in a fully remote environment while collaborating effectively across teams.
  • Ability to sit or stand for extended periods at a workstation and regularly handle objects weighing up to 10 pounds.
  • Strong focus, active listening, comprehension, and verbal communication skills.
